Position Overview: The Senior Financial Operations Specialist plays a crucial role within the finance team, responsible for managing and overseeing various aspects and processes within the accounting and finance functions. This position entails maintaining precise and comprehensive financial records, ensuring timely transaction processing, supporting the preparation of internal and external financial reports, analyzing financial data and trends, and offering insights to team members and leadership. The Senior Financial Operations Specialist will also assist with compliance related to grants and investors, as well as evaluating key performance indicators and metrics for the organization.

Under the guidance of the Chief Financial Officer, the Senior Financial Operations Specialist will have the opportunity to contribute to the continuous enhancement of accounting processes and procedures, including playing a pivotal role in the adoption of innovative technologies that drive improvements in efficiency and accuracy. This position also presents a pathway for future advancement to a controller-level role within 12-24 months.

Key Responsibilities:

  • Assist in month-end closing by preparing related journal entries and reconciling various general ledger accounts.
  • Support year-end closing procedures and preparation for the annual audit.
  • Prepare and analyze financial reports, including general ledger activity, balance sheets, and income statements.
  • Oversee the entire accounts payable process, ensuring timely and accurate processing of invoices.
  • Ensure accurate and timely filing of tax forms related to accounts payable, such as 1099s.
  • Allocate expenses to accounts and cost centers by analyzing expense reports and recording entries.
  • Assist with cash flow management by preparing operating and lending cash forecasts, providing recommendations for fund transfers to meet near-term cash requirements, and generating reports for management to aid in planning.
  • Assist in preparing financial and other data for program and grant reporting.
  • Support the monthly preparation of departmental/program budgets and financial reports.
  • Contribute to the long-term budgeting and forecasting process.
  • Help create and update financial/accounting policies and procedures.
  • Provide support during financial and tax audits by preparing records and documentation for auditors.
  • Cross-train and provide support for other accounting team members as needed.
  • Stay informed on relevant accounting regulations and best practices for non-profit organizations.
  • Assist in developing and maintaining internal controls and policies to ensure compliance with financial regulations and safeguard assets against fraud.
  • Maintain professional competence in accounting principles and techniques; review and apply new or revised laws, regulations, and accounting standards.
  • Perform other duties as assigned or required.

Qualifications:

  • Excellent organizational and time management skills with the ability to manage complex and highly confidential information while exercising initiative and sound judgment.

  • Highly proficient in Microsoft Excel.

Education & Experience:

  • Bachelor's degree in accounting or a relevant field OR 5-7 years of direct work experience in lieu of a degree required.
  • 2-5 years of experience in accounting demonstrating increasing responsibility.
  • Experience with grant accounting and reporting (desirable, not required).
  • Experience working in a CDFI or similar nonprofit (desirable, not required).
  • Moderate digital literacy and ability to navigate workplace technology including enterprise-level accounting software, payroll software, databases, and business intelligence tools.
