Financial Operations Specialist

Position Summary
The Financial Operations Specialist is a meticulous professional tasked with overseeing monetary transactions and ensuring the maintenance of precise financial records. This role involves validating payment approvals, processing payments promptly, managing receivables, and handling payroll operations.

Core Responsibilities
- Adhere to ethical and confidentiality standards pertinent to the role.
- Manage payroll processing and address all payroll-related matters with strict confidentiality.
- Handle receivables and ensure timely invoice payments.
- Oversee payables and guarantee prompt payment processing.
- Deposit checks and cash receipts, ensuring proper handling.
- Match supplier invoices with authorized purchase orders and proof of receipt.
- Secure payment approvals for non-inventory invoices.
- Process expense reports efficiently.
- Manage credit card payment processing.
- Issue stop payments and void checks as necessary.
- Reconcile bank statements, credit card statements, and other financial accounts.
- Ensure timely payment of supplier invoices.
- Monitor submissions of supplier W-9 forms.
- Update and maintain the vendor information master file.
- Utilize various computer programs extensively, including but not limited to Sage, Excel, Word, and other Microsoft Office applications.
- Foster positive working relationships with customers, vendors, and internal departments including accounting, customer service, sales, and manufacturing.
- Exhibit strong verbal and written communication skills with both internal and external stakeholders.
- Demonstrate trustworthiness, a strong work ethic, and a positive attitude consistently.
- Organize and manage individual workload while contributing as a team player.
- Willingness to take on additional assignments and related tasks as needed.
- Maintain regular attendance and be available to address daily operational issues during standard business hours, with flexibility for additional hours as required.
