Job Summary

We are seeking an experienced Administrative Professional to join our team in the BCI Section office. The successful candidate will perform complex administrative duties and assist in the management of office functions.

Key Responsibilities
  • Perform non-routine administrative tasks, including preparing correspondence and reports, and carrying out assignments.
  • Respond to correspondence and communicate decisions, directives, and assignments to appropriate staff.
  • Review and summarize reports on operations activities, and organize conferences.
  • Coordinate the acquisition and maintenance of office machines, and purchase supplies and equipment.
  • Act as lead worker over lower-level administrative and/or office support staff, and interview, train, and oversee the workflow of clerical personnel.
  • Perform secretarial tasks, including preparing confidential correspondence and reports, maintaining confidential files, and maintaining calendars and making travel arrangements for supervisors.
  • Handle sensitive telephone calls, and channel calls to appropriate parties for response.
  • Perform clerical tasks, including receiving, opening, logging, and distributing incoming mail, and answering phones and screening calls.
  • Greet and direct visitors, and maintain inventory of general office supplies and order as needed.
  • Maintain files and retrieve information, and prepare routine forms.
Requirements
  • 30 months of experience or 30 months of training in a secretarial/administrative professional field, and a typing skill of 60 words per minute.
  • Or completion of associate core coursework in secretarial science or business office applications from an accredited career school or community college, and 12 months of experience in a secretarial/administrative professional field, and a typing skill of 60 words per minute.
  • Or 12 months of experience as an Administrative Professional 2, and a typing skill of 60 words per minute.
