Position Overview

The Front Desk Administrative Assistant plays a crucial role in managing the front reception area, ensuring operational efficiency, and maintaining organizational systems. This position supports the management of staffing schedules and payroll processes while contributing to a safe and healthy workplace.

This is a full-time, hourly role.

Key Responsibilities Front Desk Management

Overseeing the daily operations of the front desk is essential for supporting our caregivers and leadership. Responsibilities include:

  • Performing clerical tasks such as:
    • Communicating with relevant stakeholders via fax and email
    • Managing office supplies and documentation
    • Maintaining an organized and welcoming office environment
    • Greeting visitors and assisting with inquiries
    • Handling deliveries and ensuring proper documentation
  • Managing incoming calls and messages with confidentiality and professionalism
  • Assisting with financial record-keeping and petty cash management
  • Supporting the recruitment process by conducting reference checks and organizing new hire documentation
Organizational Efficiency
  • Developing and maintaining an effective filing system for client and employee information
  • Ensuring compliance with state and regional documentation requirements
  • Supporting administrative leadership in maintaining employee file accuracy and training records
Payroll and Scheduling Support
  • Assisting with payroll operations by collecting and organizing necessary documentation
  • Conducting audits of timesheets and attendance records
  • Updating staffing matrices to project future staffing needs
Workplace Safety and Culture
  • Promoting a respectful and dignified environment for all employees and clients
  • Completing additional tasks as assigned within the role's scope
Qualifications
  • High school diploma or equivalent required
  • Minimum of 1-2 years of experience in administrative or customer service roles
  • Proficiency in Microsoft Office and Google Workspace
  • Strong organizational and problem-solving skills
  • Detail-oriented with a focus on improving operational systems
  • Ability to handle confidential information responsibly
Work Environment

This position is based in an office setting with standard working hours. Reliable transportation is necessary.

Compensation and Benefits
