The Facilities Operations Specialist will play a crucial role in upholding the brand standards of our fitness facilities, focusing on maintenance and operational excellence.
Key Responsibilities:
This role will oversee the Service Channel, our digital platform for managing work orders related to facility upkeep and equipment maintenance. The goal is to minimize downtime through proactive maintenance strategies and the identification of effective solutions.
The Facilities Operations Specialist will collaborate closely with Regional Facilities Maintenance Partners to assess high-cost issues, aiming for cost efficiency through strategic vendor selection and management.
As the subject matter expert on Service Channel for the Facilities Team, this position will guide Regional Facilities Maintenance Partners and Brand Technicians on best practices and processes that enhance member experiences and uphold brand standards.
This role will ensure compliance with all relevant codes, regulations, and safety directives associated with building operations. Reporting directly to the Senior Director of Facilities, the Facilities Operations Specialist will:
- Provide detailed reporting and analysis on club maintenance activities on a weekly, quarterly, and annual basis.
- Manage the Service Channel dashboard to optimize its functionality for business needs.
- Identify and implement continuous improvement opportunities within the maintenance processes.
- Review all facility-related issues submitted through our management software.
- Ensure timely completion of preventative maintenance tasks according to the established schedule.
- Analyze work order trends to uncover cost-saving opportunities and enhance vendor service.
- Evaluate and approve vendor proposals for work orders exceeding pre-approved amounts.
- Assist in the vendor evaluation, onboarding, and replacement processes.
- Communicate effectively with Brand Technicians, General Managers, and Regional Managers to clarify maintenance requirements.
- Act as an internal expert on Service Channel, providing training to the Regional Facilities Maintenance Partner Team.
- Review preventative maintenance work orders for HVAC, Fire and Life Safety, and other systems to confirm completion.
- Engage with property managers and landlords to resolve responsibility issues.
- Collaborate across departments, including Operations, Construction, and Finance, to ensure comprehensive support for the Facilities Maintenance team.
Qualifications:
Experience with Service Channel or similar facilities management software is highly preferred. Proficiency in Microsoft Excel, Word, and PowerPoint is essential. The ideal candidate will possess strong organizational, communication, and prioritization skills, with the ability to manage multiple tasks effectively. A self-motivated individual with sound decision-making abilities is sought for this role. Occasional travel may be required.
