Department: Administration/Operations

Compensation: Salaried
Position Overview
- Develop and oversee financial documentation, reports, and general ledger accounts.
- Execute journal entries, analyses, accruals, and balance sheet reconciliations to ensure timely monthly closing.
- Manage accounts payable and perform monthly statement audits to address any billing discrepancies.
- Facilitate deposits and handle accounts receivable, including reporting and collecting on overdue balances as necessary.
- Maintain and reconcile schedules for restricted net assets.
- Ensure adherence to GAAP and non-profit accounting regulations.
- Formulate and manage annual budgets and forecasting models in collaboration with the Executive Director.
- Prepare for and assist with annual audits and necessary submissions.
- Administer and process 1099 tax forms on an annual basis.
- Develop, maintain, and regularly update all accounting procedural manuals and documentation.
- Prepare and oversee grant budgets and financial reporting.
- Timely submit grant reports to federal and state agencies and manage the drawdown of grant funds.
- Request no-cost extensions and budget modifications for grants that are expiring or underspent.
- Ensure that company entity registrations are current for all grant reporting platforms.
- Oversee sub-award contracts and manage expense reimbursement requests.
- Collaborate closely with departments funded by grants to ensure accurate expense coding and timely submission of percent effort allocations.
- Act as a liaison to external grant agency representatives, sub-awardees, and cohorts.
- Process payroll for a small team and maintain all payroll documentation.
- Serve as a liaison with administrative vendors and external partners, including banking, HR, benefits, payroll, retirement plans, insurance brokers, and board members.
Additional Responsibilities
Provide other assistance as directed by the Executive Director to support the overall objectives of the department and organization. Management reserves the right to modify duties and responsibilities as needed.
Supervisory Responsibilities: None.
Budgetary/Fiscal Responsibilities: In line with the duties outlined above.
Confidentiality Responsibilities: This role requires safeguarding confidential and proprietary information.
Interaction with Others: This position will engage with managers at all levels and staff across the organization, as well as with external organizations and the public.
Job Requirements/Experience
Education: Bachelor's degree in accounting or finance preferred, or an equivalent combination of education and experience.
Experience: Minimum of 5 years in accounting or finance required. Experience in non-profit accounting and familiarity with FASB 11 & 117 is strongly preferred. Experience with federal and state grants is also preferred.
Knowledge, Skills, and Abilities:
Proficient computer skills with QuickBooks are required. Familiarity with Microsoft Office and G Suites is essential.
Strong organizational skills, excellent written and verbal communication abilities, technical knowledge, attention to detail, and the capacity to prioritize tasks are necessary.
Ability to adapt and meet deadlines in a fast-paced, multi-tasking environment, and to work collaboratively as part of a team.
Must handle sensitive information with discretion.
