Job Overview

The Design Studio Bookkeeper and Operations Assistant plays a crucial role in the daily operation of the Anyon Interior Design Studio and satellite offices. Reporting to the COO, this individual is responsible for managing and maintaining multiple operational systems and duties, including bookkeeping, I.T. support, and office space maintenance. This is a highly collaborative and dynamic role, requiring strong organizational and execution skills, as well as effective communication with cross-functional partners and outside vendors.

Key Responsibilities
  • Partner with the COO to plan and execute weekly tasks, projects, and deliverables within the business areas of operations, finance, and IT administration.
  • Manage and participate in specific bookkeeping duties, including posting of Ops/Office charges, upkeep of check request logs, and depositing of checks.
  • Support the Design Team with client project operational needs and installations, and partner with the COO on targeted projects and tasks in support of the Atelier team.
  • Manage day-to-day office operations and organization, including answering phones, managing general email accounts, and day-to-day housekeeping tasks.
  • Partner with the COO to manage and maintain office technology, including computers, monitors, printers, internet, and other equipment.
  • Manage and maintain office subscriptions, including G Suite, Dashlane, SD, Adobe, and other software.
  • Ensure workspaces, conference/meeting rooms, kitchen, storage closets, annex, and storage units are kept in good working order and maintain high levels of cleanliness.
  • Manage incoming and outgoing AID shipments using the PO tracking sheet, and partner with the Design Team to facilitate the check-in, inspection, and storage of all client project products.
  • Manage the receipt and distribution of incoming and outgoing mail.
  • Participate in the planning and facilitation of new staff member onboarding and training with direction from HR and/or COO.
  • Coordinate facilities management and maintenance with direction/input from COO and Owner.
  • Uphold company values and partner with COO/Owner to actively build, maintain, and enrich the daily work environment and company culture.
Requirements
  • Strong level of professional maturity and interpersonal/communication skills.
  • Team player with a positive, "can-do" attitude and a solution-oriented approach to challenges and opportunities.
  • Background in bookkeeping, financial administration, and I.T. management.
  • Detail-oriented with the ability to effectively plan and execute tasks and projects and consistently hit deadlines.

  • Flexible and able to thrive in a continuously changing environment.
  • Ability to manage multiple priorities and mindfulness of when to ask for additional help/support.
  • Ability to interact and communicate with outside contractors and vendors in a professional and solution-oriented manner.
