  • Manage invoice processing and facilitate payments for resources acquired for the library's collection.
  • Utilize the automated system (Polaris) to locate purchase orders and invoices efficiently.
  • Confirm vendor order confirmations to ensure accuracy.
  • Monitor and resolve any issues related to order fulfillment.
  • Assess order statuses and prepare payment vouchers as required.
  • Track deadlines and pricing agreements as necessary.
  • Collaborate closely with various stakeholders, including Selectors, the Processing Supervisor, Procurement Specialist, and Senior Accounts Payable Specialist, to achieve departmental objectives.
  • Provide backup support for the Materials/Acquisition Specialist.
  • Assist with Marina Processing tasks (ILL) as needed.
  • Support Processing tasks when required.
  • Help Selectors with projects as necessary.
  • Contribute to special projects and collections, such as DIY, Art, Video Games, Toys, etc., when needed.
  • Perform additional duties and projects as assigned.
  • Maintain consistent and reliable attendance.
  • Adhere to all organizational policies and procedures.
Qualifications:

  • Some college education or a degree is preferred.
  • Familiarity with the Polaris system is advantageous.
  • Experience in bookkeeping is preferred.
  • 3-5 years of experience in customer service.
  • Exceptional attention to detail.
  • Ability to comprehend and retain detailed instructions.
  • Proficient in accurate data entry and retrieval.
  • Computer literacy, including proficiency in Internet usage, Office 365 tools, and specialized online databases.
  • Proven ability to work collaboratively with individuals from diverse cultural backgrounds.
  • A demonstrated passion for problem-solving and information analysis.
  • Ability to maintain composure under pressure.
  • A positive, adaptable, and forward-thinking mindset.
  • A sense of humor is appreciated.
Physical Requirements:

  • This position allows for some variation in work routine and involves considerable standing, walking, bending, reaching, pushing, pulling, and sitting.
  • Some physical activity is required, such as lifting bags or boxes of books and arranging spaces for classes and events.
Additional Information:

  • This position is located at the Administrative Branch.
  • Grade 4; Salary $33.13/hour.
  • Reports to the Director of Collection Development.
  • Part-time; 20 hours per week, typically Monday - Friday between 8 am and 5 pm.
