Position Overview:
The Front Office Supervisor is accountable for delivering attentive, courteous, and efficient service to all guests during check-in, throughout their stay, and at checkout, while optimizing room revenue and occupancy.

Key Responsibilities:

  • Welcome and greet all guests at the Front Desk according to Highgate and Hotel Effie standards.
  • Ensure the proper operation of the PBX console and meet all hotel standards.
  • Respond promptly to guest inquiries regarding hotel services, facilities, and hours of operation.
  • Manage the logging and delivery of packages, mail, and messages to guests and meeting rooms.
  • Review all emails and familiarize yourself with all guests' needs.
  • Provide information to guests about local restaurants, transportation, and entertainment options.
  • Adhere to all cash handling and credit policies.
  • Maintain awareness of all rates, packages, and special promotions.
  • Understand and be familiar with all in-house groups.
  • Know the closed-out and restricted dates.
  • Gather all necessary information when processing room reservations.
  • Be knowledgeable about hospitality terminology.
  • Understand emergency procedures and assist as needed.
  • Handle check-ins and checkouts in a friendly and efficient manner.
  • Comprehend and operate all relevant aspects of the Front Desk computer system.
  • Complete all tasks and duties on the shift checklist in a timely manner.
  • Conduct bucket checks, room rate verification reports, and housekeeping reports.
  • Balance and prepare individual paperwork for the closing of shifts according to hotel standards.
  • Promote and maintain guest programs and promotions.
  • Collaborate with housekeeping to ensure room readiness for arrivals and completion of guest requests.
  • Address all guest requests, problems, complaints, and accidents presented at the Front Desk in a courteous and efficient manner.
  • Train all Front Desk staff on systems, policies, and procedures.
  • Foster employee morale and ensure training of Guest Services personnel.
  • Maintain a clean and organized work area.

Qualifications:

  • Exhibit a warm and friendly demeanor while supervising team members in their roles at the Front Office.
  • Communicate effectively both verbally and in writing with all levels of employees and guests.
  • Listen to, understand, and clarify concerns raised by employees and guests.
  • Multitask and prioritize departmental functions to meet deadlines.
  • Approach all interactions with guests and employees in a service-oriented manner.
  • Attend all required meetings and training sessions.
  • Maintain regular attendance in compliance with company standards.
  • Uphold high standards of personal appearance and grooming.
  • Comply with company standards and regulations to ensure safe and efficient hotel operations.
  • Identify problem areas and assist in implementing solutions.
  • Handle problems effectively, including anticipating and solving issues as necessary.
  • Understand and apply complex information from various sources to meet objectives.
  • Cross-train in other hotel-related areas as needed.
  • Maintain confidentiality of information.
  • Show initiative in anticipating guest or operational needs.
  • Be flexible and prepared for long hours when required.
  • Light work – able to exert up to 20 pounds of force occasionally.
  • Ability to stand for the entire shift.
  • Complete scheduled shifts promptly.
  • Relevant college coursework is beneficial.
  • Experience in a hotel or related field is preferred.
  • High School diploma or equivalent is required.
  • Computer experience is necessary.
  • Customer service experience is preferred.
