Job Title: Document Management Specialist/ Scanning Technician

Job Summary:

We are seeking a highly skilled Document Management Specialist/ Scanning Technician to join our team at 22nd Century Technologies. The successful candidate will be responsible for the physical retrieval of hardcopy files, preparation of documents for scanning, scanning of documents on a high-speed scanner, and quality checking of scanned documents.

Key Responsibilities:

  • Retrieve hardcopy files from onsite storage locations
  • Prepare documents for scanning by removing staples and paperclips, reviewing documents for completeness, and verifying quality
  • Scan documents on a high-speed scanner
  • Quality check scanned documents, identify and analyze discrepancies, make corrections as needed, verify accuracy of output, and save document files on a network location for review by document owners
  • Accurately file name and index scanned documents
  • Return hardcopy files to allocated shelves in onsite storage locations until scans have been reviewed by staff and uploaded to the database
  • Organize the destruction of reviewed documents
  • Highlight any issues to the local contact and home office operations team
  • Complete all necessary work accurately and in line with procedures and given timelines
  • Participate in required training and attend meetings with local and home office staff as needed

Requirements:

  • A high school diploma or GED is preferred
  • Demonstrated ability to work independently, communicate needs, solve problems, and meet set deadlines
  • Knowledge of general office procedures
  • Strong organizational skills and ability to manage competing deadlines
  • Mandatory skills/certification(s) Requirement: ability to move items weighing up to 50 lbs., sit for extended periods, reach above and below shoulder height, kneel/squat/bend at the waist to retrieve files, use basic office and scanning equipment, respond to requests for information, maintain confidentiality, follow oral and written directions, comply with records retention guidelines, use automated systems to enter and retrieve information, and perform high-volume, repetitive manual tasks requiring attention to detail

Working Conditions:

The successful candidate will work in a fast-paced environment with a high volume of documents to be scanned and processed. The ability to work independently and manage competing deadlines is essential.
