Commercial Leasing Coordinator

Synergy, a leading Boston commercial real estate firm, is seeking a Leasing Coordinator to join its team. The successful candidate will be responsible for managing various marketing and leasing processes for a portfolio of commercial office properties in downtown Boston. This role will involve working closely with the leasing team to ensure the successful leasing of properties and meeting the company's goals and objectives.
Key Responsibilities
- Serve as a key member of the Leasing team in managing various marketing and leasing processes of a portfolio totaling approximately 7 million square feet.
- Compose lease proposals and tenant correspondence.
- Coordinate and conduct tenant tours with property management, building engineering, and security.
- Liaison with the leasing team and third-party brokers to respond to requests for floor plans, stacking charts, CAD drawings, etc.
- Process invoices for architectural services, leasing commissions and legal costs as needed.
- Collaborate with the Asset Management Team in the leasing due diligence process for acquisitions/dispositions.
- Prepare and analyze leasing data for investors.
- Build a database to track all existing tenants and tenants in the market through Salesforce.
- Manage data accuracy of leasing activities through VTS, including inquiries, tours and proposals.
- Review and enter prospective tenant lease terms in VTS as required.
- Examine and ensure that all VTS property websites have the most up to date material.
- Maintain open and effective communication with building tenants, as well as other Synergy personnel in asset management, accounting, acquisitions, dispositions, construction and property management.
- Conduct audit of Master Leasing Parameters for each property on an annual basis; ensure all data is entered; and review potential adjustments as needed.
- Research and collect pertinent market information such as lease comparables, tenants in the market, etc.
- Communicate with appropriate parties in property management and building security in a timely manner for all upcoming property tours.
- Manage leasing documents for each property and ensure that all Requests for Proposals (RFP) and Lease Proposals are properly stored.
- Plan and execute brokerage open houses and tenant events.
- Complete other projects as required.
Requirements
- Bachelor's Degree to appropriate 4-year college program.
- 3+ years of relevant experience in commercial leasing required.
- MA Salesperson Real Estate License or must obtain within three (3) months of employment.
- Highly refined written and verbal communication and presentation skills.
- Strong organizational and analytical skills.
- Ability to provide efficient, timely, reliable and courteous service to tenants, brokers and investors.
- Strong proficiency with VTS & Salesforce preferred.
- Familiarity with financial analysis, leasing and financial terms and principles.
- Intermediate skills with Microsoft Office Suite.
