Key Responsibilities:
  • Document Management: Organize and categorize documents, ensuring invoices are routed to the correct personnel for assessment and approval.
  • Accounting Support: Timely electronic filing of financial documentation, including the preparation of vouchers, invoices, checks, and account statements.
  • Accuracy Assurance: Review all financial documents for precision, ensuring timely entry and processing of invoices and manual checks.
  • Account Reconciliation: Monthly reconciliation of general ledger accounts to maintain accurate financial records.
  • Payment Processing: Verify that all payments receive the necessary approvals before execution.
  • Forecasting Support: Assist in the entry process for financial forecasting.
  • Database Management: Record participant-related voucher payments in all required databases promptly.
  • Expense Reporting: Ensure accurate coding and processing of all financial documents by appropriate general ledger and funding stream codes.
  • Project Support: Provide assistance to the Project Accountant as needed.
  • Request Review: Validate requests for accuracy, enter data into accounting software, print checks, and manage the signature process for authorized personnel.
  • Monthly Close Process: Gather and review all monthly invoice backup documentation for accuracy and compliance.
  • Standard Operating Procedures: Collaborate with leadership to develop accounting-related procedures as required.
  • Payroll Management: Review time detail reports, enter corrections, and communicate necessary adjustments for payroll processing.
  • Payroll Approval: Secure final payroll approval from Project Directors and submit for corporate processing.
  • Documentation Filing: Organize and file all payroll-related documentation for audits and reviews.
  • Payroll Procedures: Assist in developing payroll-related standard operating procedures as requested.
Qualifications:
  • High School Diploma or equivalent; college-level accounting courses or relevant bookkeeping experience preferred.
  • Proficient in Excel, QuickBooks, and general ledger management, with strong organizational skills and the ability to multitask.
