The position entails a variety of administrative responsibilities, necessitating a proactive, detail-oriented professional capable of working autonomously and adjusting to evolving client demands.
Core Responsibilities:
- Maintain a consistent in-office presence to promote a collaborative atmosphere, enhance support functions, and enable cross-training among colleagues.
- Deliver administrative assistance to a team of legal professionals, encompassing tasks such as time tracking, expense processing, meeting organization, and travel coordination.
- Oversee intricate calendars, billing processes, and accounts receivable management.
- Manage incoming communications and facilitate interactions between internal teams and external partners.
- Compose, revise, and proofread a variety of documents, presentations, and reports.
- Conduct research and gather information pertinent to various projects and initiatives.
- Support the planning and execution of team events, collaborating with internal resources to fulfill assigned duties.
- Maintain both electronic and physical filing systems, perform data entry, and ensure precise document management.
Qualifications:
- Exceptional attention to detail and strong organizational capabilities.
- Outstanding communication skills, both written and verbal.
- Strong interpersonal abilities, with a professional demeanor when interacting with all stakeholders.
- Capacity to manage multiple priorities independently with minimal oversight.
- Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Familiarity with billing systems and practices within a legal context.
- Basic understanding of office equipment operations.
Preferred Qualifications:
- Bachelor's Degree or Associate's Degree.
- At least 1 year of experience providing support to attorneys or senior executives.
