Animal Care Receptionist to become a vital part of our team.

Job Type: Part-time position (under 30 hours per week)

Compensation: $19.00/hour (commensurate with experience)

Role Summary: The Receptionist serves as the initial and final point of contact for clients, playing a crucial role in establishing positive first and lasting impressions. This position requires outstanding customer service and communication abilities, proficiency in computer systems, adeptness in managing financial transactions, multitasking capabilities, a welcoming demeanor, and the confidence to navigate high-pressure situations. The Receptionist will assist veterinarians, technicians, veterinary assistants, groomers, and kennel staff in delivering exceptional patient and client care.

  • Welcome clients and their pets warmly, fostering a positive and solution-focused atmosphere.
  • Respond to phone inquiries promptly and professionally, utilizing a multi-line phone system; address client questions regarding basic animal care, routine procedures, and veterinary services.
  • Screen and direct calls to the appropriate personnel; take and relay messages efficiently, retrieving medical records for accurate documentation.
  • Coordinate appointments and surgeries according to hospital scheduling protocols and confirm appointments as needed.
  • Document details from client interactions in medical records, including date, time, and key discussion points.
  • Accurately process charges; clarify invoices to illustrate the value of services rendered, reiterating veterinarians' recommendations during client check-out.
  • Collect payments upon service completion, including cash transactions, credit card processing, and verifying identification for checks.
  • Confirm client eligibility for charge accounts.
  • Review medical and computer records for accurate client contact information and ensure proper documentation is scanned into patient records.
  • Assist clients with prescription refill requests and provide routine administration instructions.
  • Advise clients on preventative care products, including flea/tick and heartworm preventatives, as well as dental care items.
Qualifications:

  • Proficient computer skills, including keyboarding and use of communication tools (email/internet).
  • Familiarity with veterinary terminology; ability to pronounce, spell, and understand relevant terms.
  • Excellent spelling and grammar skills.
  • Capacity to manage varied and sometimes challenging circumstances; exposure to emotionally charged situations is expected.
  • Ability to maintain professionalism and respect with clients and team members, even during busy periods.
  • Capability to remain composed and professional in stressful situations while focusing on individual tasks.
  • A genuine affection for animals and their owners, with a passion for working in the animal care sector.
