Job Overview

We offer a competitive hourly rate of $35-$45 per hour for this full-time contract or contract-to-hire position.

Key Responsibilities:
  • Oversee all aspects of estate planning, trust, and probate administration, including reviewing assets and files, drafting key documents such as wills, trusts, deeds, and estate charts, and coordinating client meetings for document signings.
  • Support trust administration by engaging with clients, trustees, and family members, drafting probate paperwork, preparing tax returns, managing client communications, and maintaining organized client files and records.
  • Assist with document management through automated drafting tools, overseeing electronic document storage, managing the filing system, and preparing both digital and physical records for client access.
  • Handle specialized tasks such as electronic filing of court and real estate documents, generating estate plan charts and summaries, and conducting administrative support for active trust projects.
  • Contribute to process improvement by identifying efficiencies, working with team members to standardize procedures, and implementing updates to workflow and document templates.
Requirements:
  • Bachelor's degree or equivalent experience required, with at least 3 years in a law firm setting and experience in estate planning; background in complex, high net-worth estate and trust matters is advantageous.
  • Strong written and verbal communication skills, with the ability to handle tight deadlines and adapt to shifting priorities in a fast-paced environment.
  • Proven problem-solving ability, resourcefulness, sound judgment, and quick learning skills, with strong attention to detail and a commitment to high-quality output.
  • Able to work independently and collaboratively, managing multiple tasks effectively and adapting to new tools and procedures.
  • Proficient in Microsoft Office, including Word, with Excel and Visio experience as a plus; familiarity with estate tax preparation software (such as GEMS and EVP) and document assembly tools (e.g., Contract Express) preferred.
  • Physical capability to manage office tasks, including data entry, retrieving and organizing files, and handling boxes or equipment when necessary.
