The coordinator thrives in a dynamic environment and is dedicated to delivering exceptional service to all stakeholders.
Key Responsibilities:
- Deliver outstanding customer service through various communication channels to address event-related inquiries.
- Develop and implement a strategic action plan with timelines for each assigned event.
- Adhere strictly to project deadlines and maintain high standards of quality.
- Regularly assess the progress of each event and collaborate with team leadership to identify additional support requirements.
- Utilize marketing software to create, modify, and distribute event promotional materials.
- Conduct follow-up communications via email to facilitate event registrations.
- Engage potential attendees and sponsors through proactive outreach.
- Assist in maintaining the integrity of the contact database, ensuring accurate updates and new entries.
- Support registrants in completing payment processes for events with associated fees.
- Research potential new event leads as necessary.
- Generate detailed event reports for both internal and external clients.
- Prepare and manage event materials, including printing and organizing registration documents and badges.
- Provide on-site registration assistance during events, which includes setting up registration areas, greeting attendees, and managing on-site requests.
- Ensure the proper functioning of on-site equipment and networks, including laptops, printers, and registration applications.
- Exceptional written and verbal communication abilities.
- Highly organized with a keen attention to detail.
- Able to manage multiple tasks in a fast-paced setting while remaining adaptable.
- Self-motivated and capable of working independently.
- Proficient in Microsoft Excel, Outlook, and Word.
- Typing speed of at least 55 words per minute.
- Skilled in conducting online research.
- Minimum of two years of relevant office experience.
- High level of technological proficiency with problem-solving skills.
- Familiarity with HTML is advantageous but not mandatory.
- Experience with Salesforce and/or HubSpot is a plus.
- Physical capability to lift up to 50 lbs and perform tasks requiring bending and stooping.
- Must have reliable internet access in the work environment.
