Job Description

We are seeking an experienced Operational Support Specialist to join our team at Quan. This critical role is responsible for maintaining office efficiency and ensuring smooth operations. The ideal candidate will handle communication, organize files, assist in field scheduling, and provide essential support to various departments.

Key Responsibilities:

  • Serve as the primary point of contact for front desk calls and internal/external communication.
  • Address operational issues and concerns in a timely fashion.
  • Work with municipalities to coordinate inspections.
  • Possess critical thinking skills and learn new processes.
  • Answer phone calls, greet visitors, and provide information.
  • Receive and distribute mail, documents, packages, and courier deliveries.
  • Schedule and manage appointments, services, and field-related services.
  • Assist in monitoring builder portals for documentation.
  • Maintain office files, records, and activity logs.
  • Perform routine data entry tasks accurately.
  • Collect and process client VPOs/EPOs as needed.
  • Address client inquiries and concerns professionally.
  • Handle office equipment, supplies, and document pickups.
  • Assist other teams as needed.

Requirements:

  • High school graduation or equivalent.
  • Fluent in Spanish (preferred but not required).
  • Strong computer skills (MS Office Suite).
  • Plumbing knowledge (preferred but not required).
  • Construction experience (preferred but not required).
  • Sage Field Operations (SFO) experience (preferred but not required).
  • Previous administrative experience (preferred but not required).
