Client Relations Specialist

POSITION SUMMARY
The Client Relations Specialist plays a crucial role in addressing the daily requirements of both existing and prospective clients for IUVO BioScience Operations, LLC. This position entails responding to inquiries from the website, coordinating and conducting introductory calls with new clients, managing requests from current clients, preparing and following up on quotes, and maintaining the client relationship management system (CRM) along with the Smartsheet platform. Additionally, the role includes hosting client visits and tours as necessary, as well as participating in trade shows.
KEY RESPONSIBILITIES
- Act as the primary business contact for clients regarding proposal requests, follow-ups, tracking, and feedback.
- Generate quotes, utilizing both standard pricing and customized options.
- Collaborate with relevant operations team members to create proposals, ensuring timely delivery and consistent follow-up with clients.
- Maintain updates in the CRM and Smartsheet for leads and quotations, continuing updates until the opportunity is closed.
- Work alongside the Sales and Operations Teams to address and resolve customer concerns.
- Gather and monitor customer feedback through company systems, relaying insights to Sales and Marketing management.
- Contribute to the Sales and Marketing Team by providing input for the sales and marketing strategy, including messaging, website enhancements, communication plans, and blog content.
- Attend trade shows as assigned.
- Perform additional duties as required.
QUALIFICATIONS
To excel in this role, candidates must meet the following qualifications:
EDUCATION and EXPERIENCE:
A Bachelor's degree in a relevant field (preferably in chemistry, toxicology, microbiology, biology, or a related discipline) is required. Candidates should have a minimum of 3-5 years of experience in the medical device and/or pharmaceutical sectors. Familiarity with medical device testing in accordance with ISO10993 and pharmaceutical testing related to ISO10993 and USP is preferred. Experience in a customer-facing role with a focus on business development and sales is essential.
TECHNICAL SKILLS:
Proficiency in computer applications, particularly Microsoft Office (Word, Excel, Outlook) or equivalent software. Experience with CRM systems or other online data management tools is preferred.
COMMUNICATION SKILLS:
Strong interpersonal communication skills are essential, with the ability to engage effectively with both technical and non-technical clients via in-person meetings, phone calls, and email correspondence. Candidates must possess excellent spelling, grammar, and writing skills, and be capable of tailoring their communication style to suit different audiences (scientists, procurement professionals, executives) to foster business relationships.
MATHEMATICAL SKILLS:
Proficient mathematical skills are required, including accuracy in basic calculations and the ability to perform analyses related to business opportunities.
ADDITIONAL SKILLS:
Exceptional ability to read and interpret documents and reports, along with strong analytical capabilities. Candidates should be able to interact professionally with consulting clients to resolve issues and meet key deliverables. Strong time management skills and the ability to work independently are essential.

Travel may be required for client visits, trade shows, and corporate office engagements, estimated at 20%-25%.
