Job Description:

The HR Administrative Support Specialist at OSJL plays a crucial role in assisting the Human Resources department with various administrative functions while ensuring confidentiality in all communications and records. This position collaborates closely with team members and leadership within the HR department.

Key Responsibilities:
  • Ensure HR Data Integrity:
    • Oversee the precise documentation and electronic organization of records within OSJL's document management system.
    • Maintain accurate personnel files and implement efficient filing systems and administrative procedures.
    • Enhance document management by digitizing paper records and securely linking them to employee files.
  • Deliver Strategic HR Assistance:
    • Provide proactive administrative support to HR associates and leadership, anticipating their needs and surpassing expectations.
    • Act as an integral member of the HR team, facilitating smooth departmental operations and improving internal processes.
  • Promote Effective Communication:
    • Serve as the primary contact for internal HR communications, ensuring timely and clear information dissemination via various channels.
    • Uphold professional communication standards to foster positive relationships and enhance departmental effectiveness.
Qualifications:
  • A high school diploma or equivalent is required; an Associate's degree is preferred.
  • 1-2 years of clerical experience is necessary.
  • Familiarity with Perceptive Content software is advantageous.
  • Proficiency in Microsoft Office and Google Workspace (including Sites, Slides, Drive, Docs, Sheets) is essential.
Work Environment:
  • Work primarily in a climate-controlled setting with minimal safety or health hazards.
  • This role is sedentary, requiring frequent near-vision use for reading and computer tasks.
