Job Description

We are seeking an experienced Operations Manager to oversee daily activities at RedCoach. As an ideal candidate, you'll have a sharp business mind and proven success managing multiple departments toward maximum productivity.

Key Responsibilities:

  • Operational Planning: Plan, direct and coordinate activities to ensure the efficient and cost-effective operation and utilization of the assets and facility.
  • Communication: Maintain constant communication with management, staff, and vendors to ensure proper operations of the organization.
  • Quality Assurance: Develop, implement, and maintain quality assurance protocols. Confer and cooperate with upper management in formulating administrative and operational policies and procedures.
  • Regulatory Compliance: Maintain a complete understanding of and compliance with all regulations set forth by any governing agency (including but not limited to FMCSA, DOT, county governments).
  • Employee Performance: Monitor employee performance, identify safety issues, and address operational needs.
  • Cross-Functional Collaboration: Collaborate with other operational units across the U.S.

Daily and Monthly Responsibilities:

  • Team Leadership: Lead, motivate, coach, and support a team within a time-sensitive and demanding environment, assuming first-line supervision of on-site and non-location employees and ensuring company policies and procedures are followed.
  • Training and Development: Set up the standard training program for all levels of employees involved in the operations and train them.
  • Performance Management: Ensure all non-performing team members are identified, appropriately supported, and managed as required. Provide verbal and written warnings to staff as well as hand out suspensions when necessary.
  • Time-Off Management: Manage vacation and time-off requests based on driver, company, and customer needs.
  • Driver and Staff Management: Interview necessary drivers and staff and complete customer complaint investigations.
  • Uniform Management: Maintain/order necessary driver and staff uniforms.
  • Emergency Preparedness: Develop emergency protocols for all possible scenarios involving vehicle problems, guest issues, weather extremes, road closures, etc.
  • Software Proficiency: Become proficient with all software and monitoring systems.
  • Process Improvement: Partner with cross-functional support teams in improving the proprietary tools and systems.
  • Fleet Management: Plan and dispatch drivers in fleet, assign vehicles to routes.
  • Vehicle Maintenance: Ensure drivers have the daily documentation necessary to complete their routes.
  • Vehicle Condition: Ensure vehicles dispatched are in proper working condition and daily DVI (pre and post trip) forms have been submitted.
  • Dispatch and Monitoring: Coordinate the dispatching, in-service monitoring, and activities involved in daily transit operations.
  • Maintenance Coordination: Coordinate and manage maintenance program for vehicles with staff mechanics and outside providers.
  • Inter-Departmental Coordination: Coordinate between drivers and shop to ensure all maintenance issues are satisfied.
  • Operational Oversight: Assist in day-to-day operational oversight of all locations' operations including billing, payroll, routing/scheduling, DOT & state compliance, accounts receivable and accounts payable, recruitment and hiring of employees.
  • Additional Responsibilities: Perform all other duties as assigned and may assist with other areas based on company needs.

Requirements:

  • Education: Bachelor's degree in operations management, business administration, or related field.
  • Experience: 2+ years' proven experience in an operations management position.
  • Leadership Skills: Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and customer service.
  • Planning and Organization: Excellent planning and organization skills.
  • Communication Skills: Excellent verbal, written and listening communication skills.
  • Problem-Solving: Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Time Management: Capable of working under tight time constraints with multiple priorities. Ability to effectively prioritize tasks and manage time effectively.
  • Software Proficiency: Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
  • Availability: Available for weekends and holidays.
  • Travel: Available to travel within the U.S.
  • Criminal Background Check: Able to pass a criminal background check.
  • Preferred Qualifications:
    • Bilingual Communication: Bilingual communication skills (Spanish)
