Job Overview

The Windfall is collaborating with a Private Equity firm in search of an Executive Assistant. This position is based in a prominent office and involves supporting the Private Wealth Management Client Relations team while reporting directly to the Partner overseeing the Americas.

The PWM Client Relations team is dedicated to delivering purpose-driven investment strategies to Private Wealth firms and their advisors, facilitating commitments from end clients through PWM firm advisors and home office sales teams. Coverage will also extend to single and multi-family offices. This role requires in-office presence from Monday to Thursday, with the option to work from home on Fridays, while maintaining flexibility for additional hours as needed.


Key Responsibilities
  • Organize domestic and international travel arrangements, including flights, accommodations, transportation, dining reservations, and meetings.
  • Manage the executive's calendar, coordinating all meetings and conference calls, addressing scheduling conflicts, and prioritizing engagements.
  • Assist in preparing for meetings with current and prospective clients, including creating agendas and following up on action items.
  • Maintain updates in the Salesforce database, including adding new prospects and clients, and editing existing client information.
  • Conduct research to support the executive's initiatives and decision-making processes.

Additional Duties
  • Coordinate logistics for both large and small-scale conferences.
  • Provide coverage for other assistants during their absences.
  • Organize internal and external events, including happy hours and offsite activities.
  • Review contracts and invoices related to venues for both external and internal events.

Qualifications

Minimum of 3 years of experience as an Executive Assistant in finance, consulting, or technology sectors.

Proficiency in:

  • Travel and logistics coordination (both domestic and international)
  • Heavy calendar management
  • Database management
  • Working in an international context
  • Communicating effectively with executives
