Your Impact:

We are in search of a skilled Payroll Specialist to handle our multi-state payroll processing through Justworks PEO (Professional Employer Organization). This role is crucial in ensuring accuracy and compliance in payroll processing and reporting, while also providing support to the Payroll Director.

**This position is remote. We encourage applicants from various states, excluding specific locations.**

Key Responsibilities:

  • Manage bi-weekly payroll processing, including supplemental payments and reimbursements for over 500 employees across multiple states.
  • Review timesheet submissions and collaborate with managers to resolve any discrepancies.
  • Ensure timely processing of final pay for terminated employees in accordance with state regulations.
  • Maintain and audit employee data within payroll and timecard systems.
  • Respond to payroll-related inquiries from managers and employees in a confidential and professional manner.
  • Assist with executive report requests, company acquisitions, and other projects as needed.
  • Coordinate the establishment of new state accounts for SUTA, WC, and other requirements.
  • Keep accurate payroll documentation and records, auditing tax reporting data while staying informed on payroll laws.
  • Support quarterly and year-end payroll tasks.
  • Maintain GL mapping data in HRIS and accounting systems.
  • Participate in expense report audits to ensure proper documentation.
  • Prepare bi-weekly analyses, account reconciliations, and month-end accruals as necessary.
  • Assist in gathering data for internal and external payroll, tax, benefits, and compliance audits.
  • Reconcile and record payroll entries in the general ledger.
  • Monitor wage and hour regulations, collaborating with finance and HR leadership to ensure compliance.
  • Conduct employment verifications.
  • Support company-wide open enrollment processes.

Qualifications:

  • Associate degree in Accounting, Finance, or a related field.
  • A minimum of five years of payroll experience in a fast-paced, high-volume, multi-entity environment.
  • Experience in converting payroll data into GL data.
  • Strong knowledge of multi-state tax and payroll compliance.
  • Proficiency in web-based payroll software.
  • Advanced skills in Excel.
  • Ability to effectively manage time and prioritize multiple projects in a dynamic setting.
