Your Impact:

We are in search of a knowledgeable Payroll Specialist to manage our multi-state payroll operations through Justworks PEO (Professional Employer Organization). This role is essential in ensuring precision and adherence to compliance standards in all payroll processing and reporting activities, while also providing support to the Payroll Director.

**This position is remote. We welcome applicants from various states, excluding specific regions.

Key Responsibilities:

  • Administer bi-weekly payroll and manage supplemental payments and reimbursements for an organization with over 500 employees across multiple states.
  • Review timesheet submissions and collaborate with managers to resolve any discrepancies.
  • Ensure timely processing of final pay for departing employees in accordance with state regulations.
  • Maintain and audit employee data within payroll and timecard systems.
  • Respond to payroll-related inquiries from managers and employees in a confidential and professional manner.
  • Assist with executive reporting, company acquisitions, and other special projects as required.
  • Coordinate the establishment of new state accounts for SUTA, WC, and other necessary registrations.
  • Maintain comprehensive payroll documentation and records, ensuring compliance with payroll legislation.
  • Support quarterly and year-end payroll tasks.
  • Manage GL mapping data within HRIS and accounting systems.
  • Participate in the auditing of expense reports for accuracy and proper classification.
  • Prepare bi-weekly payroll analyses, account reconciliations, and month-end accruals as needed.
  • Assist in gathering data for internal and external payroll, tax, benefits, and compliance audits.
  • Reconcile payroll entries for the general ledger.
  • Monitor wage and hour regulations, collaborating with finance and HR leadership to ensure compliance.
  • Conduct employment verifications.
  • Support the company-wide open enrollment process.

Qualifications:

  • Associate degree in Accounting, Finance, or a related field.
  • A minimum of five years of payroll experience in a dynamic, high-volume, multi-entity environment.
  • Proficient in converting payroll data into GL data.
  • Strong knowledge of multi-state tax and payroll compliance.
  • Experience with web-based payroll software.
  • Advanced proficiency in Excel.
  • Ability to effectively manage time and prioritize multiple projects in a fast-paced setting.
