Financial Planning Assistant

At Midland States Bank, we are seeking a highly skilled and detail-oriented Financial Planning Assistant to join our team. As a key member of our Financial Planning department, you will provide administrative support to our Manager of Financial Planning and Financial Planning Specialists.

Key Responsibilities:

  • Provide administrative support to the Manager of Financial Planning and Financial Planning Specialists.
  • Assist Wealth Advisors and Portfolio Management Team with relationship reviews, scheduling meetings, and preparing reports and correspondence.
  • Perform data entry tasks accurately and efficiently.
  • Prepare routine correspondence, ensuring clarity and professionalism.
  • Prepare planning presentation materials.
  • Maintain client records in Synergy and Salesforce, ensuring information is up-to-date and organized.
  • Assist in maintaining compliance records, ensuring adherence to regulatory requirements.
  • Take and maintain meeting minutes, ensuring accurate documentation.
  • Assist in any Audits by providing necessary documentation and support.
  • Receive and handle service-related phone calls from clients, ensuring issues are resolved or escalated appropriately.
  • Assist in market research to support the Financial Planning team.
  • Verify task completion by collaborating with the Wealth team.
  • The role requires occasional travel for training and team meetings, and willingness to travel periodically, to locations within market as needed.
  • Maintain compliance with all applicable regulations including, but not limited to, the Bank Secrecy Act (BSA).

Requirements:

  • High School diploma or GED, Associate Degree preferred.
  • Minimum of 1+ years of experience in administrative, operational or receptionist position.
  • Proficiency in MS Office Suite (Word, Outlook, Excel, PowerPoint).
  • Professionalism and courtesy in dealing with customers and colleagues.
  • Possess a fiduciary mentality, always doing what's best for the client and maintaining confidentiality in all matters.
  • Ability to handle sensitive information with discretion and professionalism.
  • Strong oral, written, and interpersonal communication skills.
  • Strong organization and time management skills in order to prioritize workloads effectively.
  • Strong attention to detail.
  • Ability to work independently and as part of a team.
