Job Summary

The Student Success and Summer Programs Coordinator will provide administrative and programmatic support to the Scripps Office for Equity, Diversity & Inclusion (Scripps EDI), with a primary focus on support and coordination of the Jane Teranes - Scripps Summer Undergraduate Research Fellowship (JT-SURF) Program.

Key Responsibilities
  • Provide administrative support to the JT-SURF Program, including logistics, outreach, and recruitment activities.
  • Develop and coordinate outreach and recruitment activities, co-develop academic and professional development activities and events, develop and manage program budget, prepare and submit program internal and external reports, perform website maintenance and other tasks related to the administration of the program.
  • Serve as liaison to students, faculty, and staff for matters related to the JT-SURF Program.
  • Collaborate with the lead PIs and the SIO Dept staff to plan and implement the JT-SURF Program.
  • Develop and manage program budget, prepare and submit program internal and external reports, perform website maintenance and other tasks related to the administration of the program.
  • Provide ad-hoc support to other summer REU programs offered at Scripps, including coordinating outreach, selection, community-building and alumni activities, as well as organizing and supporting REU students via the SOURCE Program.
  • Responsible for surveying and reporting about the various programs and recommending program improvements when necessary.
  • Acts as liaison to the various offices on campus as well as off campus.
Requirements
  • Advanced degree in Geosciences related area and/or equivalent experience/training.
  • Terminal degree in a related field preferred (PhD, JD, MD, etc.).
  • Academic background and experience in selected area of research preferred.
  • Extensive and diverse understanding and knowledge of a geoscience/marine sciences domain.
  • Thorough knowledge of administrative, budgetary, human resources and financial principles and practices.
  • Strong oral and written communication skills.
  • Strong ability to think creatively and independently on concepts requiring advanced analytical skills.
  • Strong interpersonal skills and ability to work with diverse groups to achieve results.
  • Strong ability to work collaboratively with internal and external peers and managers.
  • Proven management experience in an academic science support program.
  • Proven ability to recognize problems, develop solutions, and evaluate results or progress.
  • Proven experience with successful event planning and organization of special events and training programs.
  • Proven ability to adapt to interruptions and a fluctuating workload, organize work and prioritize tasks to meet established and variable deadlines, and function effectively under deadline pressure to fulfill assignments on schedule.
  • Experience with project management and demonstrated experience working on projects from conceptualization to completion.
  • Proven ability to make decisions independently and to anticipate the needs of student mentees and the Program itself.
  • Strong originality and creativity to anticipate and plan for new or changing workloads, to recommend new administrative approaches to support organizational objectives, to suggest or carry out special projects, and to resolve problems.
  • Ability and knowledge of grammar, spelling, punctuation, and usage to compose letters, emails, and other written documents.
  • Proven experience in and proven ability to function with a very high degree of accuracy at a coordinator level, and as a mentor, and to represent the Program's best interest at all times.
  • Excellent customer service skills.
  • Ability to communicate in a helpful, pleasant, and informative manner to a wide variety of people, both in person and on the phone.
  • General knowledge of diversity, equity, and inclusion including an understanding of the historical and social context of diversity, equity, and inclusion, relevant policies, and of the intersections of identities including but not limited to: race, ethnicity, gender, sexual orientation, religion, and SES.
  • Ability to properly assess crisis situations involving students, staff and/or academics and provide appropriate referrals and support.
  • Thorough knowledge of applying adult learning theories and education methodologies.
  • Strong working knowledge of higher education and an understanding of historical and social context of diversity, equity, and inclusion within academia and/or diving.
  • Demonstrated advising skills with ability to provide guidance to undergraduate and graduate students regarding their learning/diving needs.
  • Experience with complex and confidential calendaring, public relations, development, special projects, and community relations in a fast-paced environment.
  • Proven ability to adapt to interruptions and a fluctuating workload, organize work and prioritize tasks to meet established and variable deadlines, and function effectively under deadline pressure to fulfill assignments on schedule.
  • Proficient in the use of computers for: word processing, basic accounting, databases, and spreadsheets.
  • Experience assembling teams from diverse disciplines and backgrounds to articulate goals and objectives, implementation strategies and requisite personnel and budget resources.
Working Conditions
  • Valid driver's license to operate University vehicle.
  • Occasional overtime may be required.
  • Must be willing and able to travel.
  • Occasional evenings and weekends may be required, especially as it relates to travel, e.g. conferences and workshops.
  • Duties may require direct contact with children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) form will be required.
