Administrative Coordinator

The First Impressions Coordinator is a vital member of the Thrive Senior Living team, responsible for providing exceptional support services to our residents, families, and visitors. This role requires a highly organized and detail-oriented individual who can maintain confidentiality and handle sensitive information with discretion.
Key Responsibilities
• Assist with various community and development paperwork, ensuring accuracy and timeliness.
• Process employment applications and maintain personnel records, including daily resident census.
• Receive and separate incoming mail, distributing it accordingly and maintaining a secure and organized environment.
• Assist in ordering supplies and maintaining a well-stocked office.
• Receive Thrive guests and act as liaison for department heads and others, providing exceptional customer service.
• Set up and maintain files, both physical and digital, to ensure easy access and retrieval.
• Answer phones and keep a log as directed, maintaining a professional and courteous demeanor.
• Maintain receipts, register, and cash receipt book, ensuring accuracy and attention to detail.
• Develop, implement, and maintain an adequate personnel-filing system, ensuring confidentiality and compliance with regulations.
• Type documents, reports, letters, and other materials, ensuring accuracy and professionalism.
• Create and maintain an atmosphere of warmth, optimism, and interest in the needs of clients, investors, residents, families, visitors, and coworkers.
• Recognize, respond, and/or report resident emergencies immediately, prioritizing their safety and well-being.
• Maintain strict confidentiality on all Community data, adhering to Thrive's policies and procedures.
• Communicate with and support Thrive SL Community Relations Directors, residents, families, visitors, investors, vendors, and other stakeholders, providing exceptional support and service.
• Maintain the privacy of records, conditions, and other information relating to residents, employees, and the Company, ensuring confidentiality and compliance with regulations.
• Notify Service Center Manager of pending absence or tardiness within the timeframe described in the personnel handbook.
Requirements
This role requires a high school diploma or equivalent, with excellent communication and organizational skills. The ideal candidate will be highly detail-oriented, able to maintain confidentiality, and possess excellent customer service skills. Experience in a similar role or industry is preferred, but not required.
