Job Overview

We are looking for a proactive individual to deliver program assistance for recruitment, marketing, admissions, advising, evaluation, and other functions related to academic programs within the Commonwealth of Virginia's educational framework. Academic Program Advisors are expected to have comprehensive knowledge about academic offerings, policies, procedures, and student support services relevant to their roles.

Key Responsibilities

• Collaborate with the department's Directors for both Undergraduate and Graduate programs in managing academic initiatives, including data monitoring, report generation, course scheduling, and institutional record maintenance.

• Oversee the tracking of admissions and enrollment processes, including aiding in the preparation of surveys and managing data related to student entry and exit.

• Act as the main contact for inquiries regarding admissions, representing the department at recruitment events and co-managing the ambassador program.

• Supervise the admissions lifecycle for applications, which includes monitoring application materials, responding to inquiries from prospective students, and contacting applicants for any missing documentation.

• Distribute communication materials (both print and digital) to prospective and current students, while maintaining the systems that support this distribution (e.g., student mailing lists).

• Provide assistance for First Year Experience and Senior Seminar courses as part of the academic advising framework.

• Perform additional duties as assigned.

Required Qualifications

A Master's degree in a relevant discipline (such as agricultural education, agricultural communications, agricultural science, extension, education, etc.) or equivalent training and experience; Experience in program support within an academic or professional office setting; Proven organizational abilities with a track record of meeting deadlines; Proficiency in Microsoft Office applications, particularly Excel and Word; Strong interpersonal and communication skills, with the ability to collaborate effectively in a team environment and engage with the public.

Preferred Qualifications

Experience in a higher education and admissions context; Familiarity with SLATE Customer Relationship Management (CRM) or similar software; Understanding of university academic, financial, and operational policies and procedures; Experience managing student records in databases such as Banner and/or Navigate; Experience with online academic programs.
