Office Administrator

We are seeking a highly organized and detail-oriented Receptionist to join our team at Acutronic USA in Pittsburgh, PA. As a key member of our administrative team, you will be responsible for managing administrative tasks, overseeing office procedures, and supporting staff to enhance efficiency and productivity.
Key Responsibilities- Manage correspondence, including receiving and directing phone calls, and sorting and distributing mail.
- Greet and sign in all on-site guests warmly and professionally, providing them with necessary information and assistance.
- Conduct background screenings for visitors prior to their visit, ensuring security protocols are followed.
- Assist project management with customer site visits, including ordering lunch and preparing necessary documents.
- Negotiate travel contracts for vendors for company travel, ensuring cost-effectiveness and adherence to company travel policies.
- Coordinate travel logistics for employees, including booking flights, accommodations, and transportation as needed.
- Assist the finance team with processing invoices, receipts, and other financial documents.
- Manage office supplies inventory and place orders when necessary.
- Associate's degree in Business Administration or related field preferred, equivalent experience considered.
- At least 5+ years of experience in office management or administrative roles.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
