Executive Assistant to the VP, USCDT Cross Platform Delivery

About the Role

We are seeking a highly skilled and experienced Executive Assistant to support our VP, USCDT Cross Platform Delivery. This is a unique opportunity to join a dynamic team and contribute to the success of our organization.

Key Responsibilities
  • Provide exceptional administrative support to the VP, including calendar management, travel arrangements, and expense reporting.
  • Coordinate meetings, events, and activities, ensuring seamless execution and timely follow-up.
  • Manage complex international travel itineraries, utilizing Amex travel booking tools and preferred vendors.
  • Ensure timely preparation and processing of expense reports, tracking and processing of invoices, and review of expenses submitted to the leader.
  • Organize new starters' onboarding, workstation setup, and HR/PeopleSoft administration, as well as coordinate recruitment and development activities.
  • Assist with timekeeping and payroll duties, organization charts, and cost-center reconciliations.
  • Support ad-hoc special projects, which may be confidential and sensitive in nature.
  • Manage general follow-up and generate reminders to effectively meet deadlines and commitments.
Requirements
  • Ability to work under pressure, to tight deadlines, and with strong attention to detail.
  • Strong maturity with ability to effectively prioritize VP office responsibilities.
  • Ability to work under minimal direction, manage multiple priorities, make sound decisions, and maintain discretion and confidentiality of sensitive information.
  • Team player who is dependable and enthusiastic.
  • Strong PC skills in MS Office applications (e.g., Word, PowerPoint, Excel) and Outlook.
  • Excellent communication skills, both written and oral; strong interpersonal, influencing, and collaborating skills.
  • Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through.
  • Proficiency in American Express applications, including but not limited to Concur Expense Management, Ariba Buyer, eHR, Payroll, BrassRing, and the IT Service Catalog.
