Job Overview

Objective:

The On-Site Account Agent plays a crucial role in managing catering services for Air Culinaire Worldwide (ACW), ensuring that operations align with company standards and deliver exceptional service to clients. This position is integral in fostering client satisfaction and loyalty through meticulous attention to detail and quality service.

Under the guidance of the On-Site Account Manager, the On-Site Account Agent is tasked with providing a tailored level of service while maintaining confidentiality and security of client information. Collaboration with various departments such as Operations, Network, IT, Finance, and Marketing & Sales is essential to create an outstanding experience for clients within the Air Culinaire framework.

Key Responsibilities:

  • Daily Responsibilities
    • Support all operational functions within the team.
    • Manage assigned phone queues as directed by management.
    • Address and respond to assigned emails coordinated by management.
    • Ensure accurate and timely processing of all assigned orders.
    • Maintain detailed notes on all relevant order information.
    • Utilize company software to identify approved suppliers for orders.
    • Conduct pricing research for custom items using company-approved resources.
    • Communicate directly with the supply chain for order clarification via phone or email.
    • Document Process Events in accordance with departmental policies.
    • Resolve Event issues by adhering to the company’s credit matrix and engaging management support when necessary.
    • Perform self-quality checks on orders to ensure accuracy and minimize potential issues before submission.
    • Follow up on confirmed orders to ensure closure of the order process.
    • Report any issues to management at the end of the shift for continuity.
    • Engage with the On-Site Account Manager, Operations Manager, or higher management as required.

  • Professional communication skills, both verbal and written.
  • Proficiency in basic computer applications, including MS Outlook, Word, and Excel.
  • Familiarity with modern office procedures and record-keeping practices.
  • Ability to prioritize tasks and work independently.
  • Flexibility in scheduling, including availability for evenings, weekends, or holidays as needed.
