Job Overview

WORK ENVIRONMENT: Outpatient clinical setting.

POSITION SUMMARY: Responsible for welcoming, guiding, and managing the check-in and scheduling processes for patients and visitors. Acts as a crucial link between patients and healthcare professionals.

KEY RESPONSIBILITIES:

  • Welcomes patients with a friendly and professional demeanor.
  • Handles inquiries and screens visitors with care.
  • Confirms and updates patient information in the electronic health record system.
  • Prepares patient charts efficiently, ensuring all necessary details are included for appointments.
  • Generates daily schedules for physicians and prepares charts for the next day.
  • Confirms upcoming appointments and verifies insurance details.
  • Keeps current records of physician and nursing schedules.
  • Collects co-payments and manages financial transactions accurately.
  • Schedules follow-up appointments and assists in coordinating same-day visits.
  • Monitors the waiting area, facilitating patient flow and addressing any issues.
  • Participates in required meetings.
  • Ensures confidentiality of patient information.
  • Maintains cleanliness and organization of the waiting area and workspaces.
  • Performs additional tasks as assigned.

SKILLS AND QUALIFICATIONS:

  • Familiarity with medical office procedures.
  • Strong verbal and written communication abilities.
  • Ability to greet patients and manage phone calls in a courteous manner.
  • Exceptional customer service and interpersonal skills.
  • Excellent organizational skills with attention to detail.
  • Capability to thrive in a fast-paced and sometimes high-pressure environment.
  • Proficient in Microsoft Office and related software.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Self-sufficient with minimal supervision.
  • Ability to build and maintain effective working relationships with colleagues and external contacts.
  • Strong analytical and problem-solving skills.

EDUCATION AND EXPERIENCE:

  • High School Diploma or equivalent required.
  • Associate degree is preferred.
  • Minimum one year of relevant experience, ideally in a medical office environment.

PHYSICAL DEMANDS: The role may require prolonged periods of sitting; the ability to remain stationary for 50% of the time; occasional bending, stooping, and stretching for files and supplies. May involve lifting files or materials weighing up to 30 pounds. Requires manual dexterity for operating office equipment and typing at a speed of 40 wpm. Must be able to view and work on computer screens for extended periods.

WORKING CONDITIONS: The position is based in an office environment with frequent interaction with patients both in person and over the phone. The role may involve stressful situations and requires constant engagement with others.
