Key Responsibilities:
- Maintain and update financial databases to ensure accuracy.
- Engage with customers to facilitate payment requests and arrangements.
- Process and accurately record customer payments in the accounting system.
- Generate financial reports and balance sheets to reflect overall financial performance.
- Update customer accounts in accordance with received payments.
- Identify and follow up on overdue accounts.
- Communicate effectively with clients to understand their financial situations.
- Perform basic administrative tasks as needed to support accounts receivable functions.
- Prepare and record customer invoices following company guidelines.
- Maintain customer files, ensuring all information is current and accurate.
- Draft standard correspondence for overdue accounts and manage collections.
- Conduct research on customer discrepancies and outstanding balances.
- Reconcile accounts receivable periodically to ensure accuracy.
- Assist in the generation of monthly billing statements.
- Support revenue account reconciliation on a monthly basis.
- Manage documentation for accounts receivable as required.
- Relay any changes in customer information to relevant team members.
- Perform additional duties as assigned.
Required Qualifications:
The ideal candidate should have experience in one of the following sectors: HVAC, Electrical or Mechanical Engineering, or Construction.
Essential skills include:
- Exceptional verbal and written communication abilities.
- Proficiency in Microsoft Office Suite and other accounting software.
- Capability to work independently in a dynamic environment.
- Strong organizational skills and meticulous attention to detail.
- Moderate to advanced knowledge of QuickBooks, particularly the latest versions.
