  • Maintain and update financial databases to ensure accuracy.
  • Engage with customers to facilitate payment requests and arrangements.
  • Process and accurately record customer payments in the accounting system.
  • Generate financial reports and balance sheets to reflect overall financial performance.
  • Update customer accounts in accordance with received payments.
  • Identify and follow up on overdue accounts.
  • Communicate effectively with clients to understand their financial situations.
  • Perform basic administrative tasks as needed to support accounts receivable functions.
  • Prepare and record customer invoices following company guidelines.
  • Maintain customer files, ensuring all information is current and accurate.
  • Draft standard correspondence for overdue accounts and manage collections.
  • Conduct research on customer discrepancies and outstanding balances.
  • Reconcile accounts receivable periodically to ensure accuracy.
  • Assist in the generation of monthly billing statements.
  • Support revenue account reconciliation on a monthly basis.
  • Manage documentation for accounts receivable as required.
  • Relay any changes in customer information to relevant team members.
  • Perform additional duties as assigned.

Required Qualifications:

The ideal candidate should have experience in one of the following sectors: HVAC, Electrical or Mechanical Engineering, or Construction.

Essential skills include:

  • Exceptional verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite and other accounting software.
  • Capability to work independently in a dynamic environment.
  • Strong organizational skills and meticulous attention to detail.
  • Moderate to advanced knowledge of QuickBooks, particularly the latest versions.
