Job Summary:

Ogletree Deakins seeks an experienced administrative coordinator to support our California and West coast offices. This role involves providing secretarial and administrative assistance to attorneys, performing various tasks, and working collaboratively in a fast-paced team-oriented environment.

Key Responsibilities:

  1. Provide secretarial support for offices experiencing temporary staffing shortages.
  2. Communicate with Office Administrators and/or PAs of supported offices.
  3. Submit conflict check information, initiate matter opening processes, and prepare new matter documents.
  4. Train incoming staff on firm systems, procedures, administrative contacts, and resources.
  5. Maintain a master spreadsheet of new matter openings for joining attorneys.
  6. Communicate with incoming attorneys, CIRS, and IT regarding file transfers and practice-related info.
  7. Create and organize client files.
  8. Assist Director of Office Administration and Regional Office Administrators with administrative tasks.
  9. Participate in firm-wide projects and initiatives.

Requirements:

  • 5+ years of experience as a litigation practice assistant or legal secretary.
  • In-depth knowledge of federal and local rules.
  • California processes and filings expertise.
  • 70+ wpm typing accuracy and speed.
  • Proficiency in MS Office, document management, e-filing, and database software.
  • Excellent written and verbal communication skills.
  • Superior organizational skills, including filing, calendaring, and proofreading.
