Job Overview

The primary responsibility of this role is to assist in the publication workflow for the Power & Energy journals. This position is essential in coordinating tasks across various publications managed by the Publications Office, significantly contributing to the mission of expediting the transition from manuscript submission to publication.

The individual in this role will work closely with the Publications team and the Editors in Chief, ensuring timely follow-ups and reminders to reviewers and authors. Maintaining team objectives is crucial, and the candidate should be prepared to support the achievement of these goals across all Society journals.

Key Responsibilities:

  • Conduct initial verification of manuscript submissions for selected Transactions.
  • Ensure compliance with formatting standards for submitted papers.
  • Confirm that all authors listed are not included on the Prohibited Authors List and are accurately represented in the manuscript management system.
  • If submissions do not meet the required criteria, document deficiencies in the manuscript management system and communicate with authors regarding necessary corrections.
  • Manually submit papers through the plagiarism detection system when automatic submissions fail, providing technical assistance to authors of newly uploaded manuscripts.
  • Generate Monthly Overdue Reviewer Score Reports, Bi-Monthly Overdue Select Reviewers Reports, and Bi-Monthly Overdue Recommendation Reports for all Transactions Journals.
  • Send reminders to Editors as needed.
  • Manage correspondence with authors, Editors-in-Chiefs, and other Editors, including responding to inquiries directed to the designated email accounts.
  • Address status inquiries from all authors.
  • Schedule paper sessions, poster sessions, and committee meetings as required.
  • Process expense reports as assigned.
  • Provide assistance to senior administrators and departmental staff as necessary.
  • Act as the administrator for the IEEE Transactions on Energy Markets, Policy & Regulation.
