Position Overview:

The Healthcare Customer Support Specialist is responsible for managing incoming calls in a high-volume medical office environment. This role involves scheduling patient appointments, addressing inquiries, and fulfilling requests while ensuring a seamless experience for patients.

Key Responsibilities:

  1. Deliver exceptional customer service by warmly greeting all callers and maintaining a respectful and helpful communication style.
  2. Handle incoming calls promptly, providing accurate information and directing inquiries to the appropriate personnel.
  3. Efficiently schedule patient appointments in accordance with the Practice Management System and physician preferences.
  4. Collect and document pertinent patient information regarding medical concerns accurately and prioritize communications to the medical staff.
  5. Verify and record patient demographics, insurance details, and other essential information with precision.
  6. Collaborate with colleagues in the call center and clinics to address inquiries and ensure effective patient scheduling.
  7. Contribute to team efforts by managing individual workloads and assisting with additional tasks during quieter periods.
  8. Occasionally provide support to Medical Office Specialists as needed.
  9. Perform various clinical and administrative tasks to support satellite offices when required.

Qualifications:

  • High school diploma or equivalent required.
  • Prior experience in a medical office setting is preferred.
  • Familiarity with insurance processes and requirements, including prior authorization, is advantageous.
  • Strong phone etiquette and excellent verbal communication skills are essential.
  • Proficient in keyboarding and comfortable using technology and database systems.
  • Demonstrated analytical and problem-solving abilities.
  • Ability to work effectively as part of a team.

Work Schedule:

Typical working hours are Monday through Friday, with potential for Saturday shifts based on location and staffing needs.

Physical Requirements:

  • Ability to lift objects weighing up to 25 pounds.
  • Capacity to sit for extended periods.
  • Occasional need to stoop, kneel, or crouch.
  • Use of hands and arms for reaching, grasping, and manipulating objects.

Work Environment:

The position is conducted in a clean and comfortable office setting.
