Job Summary

The Billing and Financial Coordinator is a key business role that plays a crucial part in maintaining the firm's financial administration. This position requires a strong understanding of business and financial concepts, including costs and revenue. The successful candidate will provide support and direction for the day-to-day office financial administration, working closely with the design practice and financial teams.

Responsibilities
  • Review project contracts for financial details and set up projects in Deltek Ajera
  • Maintain project contract/financial files, including prime and subconsultant agreements
  • Meet monthly with PMs/PICs to review project plans and financial performance, recommending corrective action with the Controller
  • Report on project performance monthly to the Controller and Managing Director
  • Prepare project/sub-consultant invoices and work on deadlines for revenue cycle
  • Partner with design staff to improve their understanding of financial terminology and outcomes, working with the Controller
  • Ensure a steady cash flow by generating, auditing, and sending invoices in a timely manner
  • Collections of aged receivables
  • Timesheet management to ensure timely submissions and proper phase/activity allocations
  • Project/client-related invoice management, including sub-consultants
  • American Express monthly reconciliations and collection of receipts
  • Becoming familiar with Mosaic Software for operational use and training users on core features
Requirements
  • Minimum of an Associate's degree in Business, Finance, Accounting, or Economics
  • Minimum of 5 years of Billing/Project Accounting experience in the accounting/finance department of an Architectural, Engineering, or Professional service firm
  • Proficient in Microsoft Excel (V-lookups, pivot tables)
  • Excellent interpersonal communication skills, including the ability to express ideas concisely and clearly to all levels within the company
  • Must possess the ability to review, obtain, and handle confidential information with utmost discretion and professionalism
  • Deltek Ajera experience a plus
  • Ability to meet deadlines and work overtime as needed
