Job Overview

We are seeking a highly skilled Patient Service Representative to join our team at First Choice Dental. As a key member of our front office staff, you will provide exceptional patient care and support to ensure seamless daily operations.

Job Responsibilities
  • Service Responsibilities:
    • Foster a positive attitude and interact effectively with staff, patients, and the broader healthcare community.
    • Exemplify excellent patient care and practice direct communication as per First Choice Dental's philosophy.
    • Maintain efficient work habits and be timely with patient care.
    • Provide coverage at other sites when requested.
    • Respect patient privacy through professionalism and confidentiality.
    • Initiate ideas for improving or streamlining site operations.
    • Develop effective organizational skills and maintain attention to detail.
  • Daily Responsibilities:
    • Schedule patient appointments via phone or in person while ensuring accurate verification.
    • Answer phones warmly and greet callers by name.
    • Fulfill openings or cancellations in the schedule.
    • Complete appointment verification process and review prior day's claims for accuracy.
    • Refer patients to specialists or offices based on clinical need and insurance requirements.
    • Verify insurance coverage for patients when necessary.
    • Post payments received by mail and run end-of-day reports for deposit balance verification.
    • Batch credit card transactions and verify all deposits.
    • Deliver cash deposits to the clinical administrator for approval and confirm deposits to financial institutions.
    • Review account ledgers, perform breakdowns, and file patient charts and paperwork.
    • Monitor patient communication software, transfer charts, sort, and distribute mail.
  • Patient Check-in and Check-out Responsibilities:
    • Greet patients warmly, verify information, and notify clinical staff of arrival.
    • Notify patients of upcoming appointments and provide new patients with necessary paperwork.
    • Greet patients during hand-off from clinical staff, verify treatment entry, and collect any outstanding balances.
    • Run third-party financing transactions, post payments, and schedule next appointments.
  • Financial Responsibilities/Treatment Plans:
    • Understand and adhere to First Choice Dental's financial policy and answer patient inquiries.
    • Establish financial arrangements, secure signed agreements, and provide patient information about recommended treatment.
  • Insurance Responsibilities:
    • Understand insurance coverage, explain it to patients, and submit pre-determinations and follow-ups.
    • Complete new insurance breakdowns, review Fast Attach attachments, and process denied claims.
  • Continuing Care Responsibilities:
    • Contact patients past due for recall appointments, make last-minute calls to fill hygiene schedules, and follow continuing care protocol.
