Position Overview
The Customer Service Specialist plays a crucial role in delivering a comprehensive range of service activities that support the operations of the customer service team and engage our clientele. This position is essential for maintaining the efficient functioning of the service center by ensuring that individual performance metrics meet or exceed established standards, aligning with the organization's commitment to operational excellence and superior customer service quality.
Key Responsibilities
- Assists customers with inquiries regarding service offerings and procedures; processes transactions via phone or mail; reviews and retains various forms, documents, payments, and applications; and accurately posts transactions to the appropriate accounts.
- Conducts various audits and verifications to ensure that transactions are processed accurately and in accordance with departmental guidelines; reconciles daily revenues with end-of-day totals.
- Addresses customer inquiries or issues, investigates problems, and initiates resolutions.
- Delivers on the organization's mission of providing exceptional customer service efficiently and effectively.
- Performs general administrative tasks; maintains and updates customer records.
- Provides information to customers on a variety of services, including vehicle registration, driver licensing, business tax receipts, property taxes, and other related transactions.
- Collaborates with management and partner organizations as necessary to coordinate activities, review work status, exchange information, or resolve issues.
- Stays informed on policies, procedures, bulletins, applicable laws, and agency updates.
- Demonstrates moderate proficiency in relevant functional areas.
- Performs additional duties as assigned.
1. High school diploma or GED; supplemented by experience in customer service or a call center environment and cash handling; or an equivalent combination of education, certification, training, and/or experience. Proficiency in Microsoft Office and a valid driver's license are required. A bachelor's degree in Business Management or a related field and the ability to communicate in a second language are preferred.
2. Excellent communication and interpersonal skills; proven problem-solving abilities; well-organized with effective time management skills.
Work Environment
Work is performed under general supervision with some discretion. The position requires the exercise of judgment in accordance with established policies and procedures.
Physical Requirements
Tasks require the ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing, and/or pulling of light objects (5-10 lbs.). Tasks may involve extended periods at a workstation.
Sensory Requirements
Some tasks require the ability to perceive and discriminate visual cues or signals, and to communicate effectively both orally and in writing.
Environmental Factors
Essential functions are regularly performed without exposure to adverse environmental conditions.
