Job Summary

We are seeking a highly organized and proactive Administrative Assistant to support our Human Resources team. The successful candidate will provide comprehensive administrative support, including greeting employees and visitors, organizing and scheduling HR meetings and events, and assisting with HR-related tasks.

Key Responsibilities

  • Provide exceptional customer service to employees and visitors, ensuring a welcoming and professional experience.
  • Organize and schedule HR meetings, in-person interviews, and events, including corporate events.
  • Assist recruiters with interview scheduling and troubleshooting technical issues.
  • Receive and distribute office mail, ensuring timely and accurate delivery.
  • Prepare and process expense reports, ensuring accuracy and compliance.
  • Handle HR contracts, including renewals, and process purchase orders.
  • Assist with maintenance and updates of HR records and database changes.
  • Process and update HRIS Database for employee changes.
  • Proofread and prepare documents and correspondence produced by the department.
  • Prepare and pull reports using HRIS and Excel.
  • Address and fulfill various ad hoc requests from the HR team as needed.

Qualifications

  • Minimum of 3 years of experience as an Administrative Assistant or in a similar administrative role.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and manage multiple projects.
  • Excellent communication and interpersonal abilities, with a focus on customer service.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is an absolute must.
  • Candidate must be familiar with database systems and have a strong attention to detail.
  • Discretion and confidentiality in handling sensitive information are essential.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.
