Job Summary

We are seeking a highly skilled and detail-oriented Registration Representative to join our team at UMass Memorial Health. As a key member of our Registration Services department, you will be responsible for ensuring the smooth and efficient registration and scheduling of patients for treatment and services.

Key Responsibilities
  • Enter lab, radiology, and basic ancillary service appointments into the scheduling system.
  • Schedule patients for treatment and services for multiple providers at multiple campuses.
  • Coordinate the provision of multiple services to patients, including lab and radiology tests.
  • Process updates and corrections to patient insurance and demographic information, as well as obtain prior insurance referrals and authorizations.
  • Collect patient liabilities prior to or on the date of service, as appropriate.
  • Arrange various associated tests, procedures, and/or ancillary services according to established guidelines and specific criteria.
  • Prioritize visits and services to foster efficient utilization of physician's clinical staff, patient's time, equipment, and facilities.
  • Obtain and enter demographic, insurance, and other related patient information into the computer-based patient registration/scheduling system.
  • Verify patient insurance coverage and follow guidelines established by insurers to ensure pre-authorization, pre-certification, and physician referrals for treatment are obtained prior to patient visits.
  • Follow up to correct discrepancies as required.
  • Provide patients with standard information regarding their personal preparation for scheduled procedures and services.
  • Mail patient information packets to patients.
  • Transcribe paper orders when applicable.
  • Assess patients' financial needs and direct accordingly to financial counseling and refer to appropriate person or area.
  • Perform various related clerical duties, such as retrieving medical and other records, faxing, collating, typing, transcribing, taking and relaying messages, etc.
  • Maintain accurate and timely records, logs, charges, files, and related information as required.
  • Collect patient liabilities, including deductibles, copays, coinsurances, self-pay payments, cosmetic procedure payments, and patient balances as appropriate, prior to or on the date of service.
  • Obtain patient and witness signatures for all paperwork, including but not limited to Consent to Treat, HIPAA, Privacy, Medicare Rights, Important Message for Medicare, Patient Rights, etc.
  • Review work queues to ensure accurate and timely billing.
  • Monitor and maintain Patient Access and Revenue Cycle Work queues.
  • Maintain scheduling and/or registration accuracy rate of 97% or above.
Requirements

High School Diploma required. Associate or Bachelor's Degree in Business or Healthcare-related field preferred. EPIC and secretarial experience is a plus. This position will work weekends and holidays as assigned. Must be available 8-5pm for 12 weeks training, if needed. Once training is completed, the assigned shifts are the ones noted below and can be subject to change based on departmental need.

Week A: Sunday, Wednesday, Thursday, Friday 3pm-11:30pm
Week B: Monday, Tuesday, Wednesday, Saturday 3pm-11:30pm
