Job Overview

The Educational Program Coordinator will provide administrative support to the Practice and Education Department, facilitating organization-wide educational initiatives to align with the strategic objectives and mission of the organization.


Key Responsibilities:

Management of educational and practice-related technical programs and systems.

  • Expertise in the Learning Management System (LMS) application.
  • Accountable for the integrity of system data, ensuring accuracy in key information, workflows, reporting, and communications.
  • Offer daily assistance and troubleshooting for administrators, managers, and staff, ensuring seamless utilization of the LMS across the organization.
  • Maintain a quarterly assignment schedule.
  • Regularly review eLearning content for relevance and timeliness.
  • Propose enhancements to optimize the LMS.

Establish processes to ensure the LMS serves as the definitive source for each employee's learning and development records.

  • Act as a subject matter expert for the LMS application, identifying solutions achievable through the LMS and suggesting alternatives when necessary.
  • Serve as a backup controller for Excellian:
  • Assist the primary Excellian administrator in maintaining appropriate access for all staff.
  • Foster relationships with the Allina Excellian team, pursuing process improvements and expert insights.
  • Remain proficient in Excellian, utilizing available resources effectively.
  • Initiate orientation sessions for Excellian and LMS applications.

Coordinate and support the achievement of educational and certification requirements.

  • Manage the Life Safety book library and schedule educational classes.
  • Collaborate with vendors to deliver onsite or virtual educational sessions.

Oversee onboarding and off-boarding processes.

  • Prepare and coordinate the intake of new hire pre-employment onboarding requirements related to education and licensure/certification.
  • Schedule orientation meetings for new hires and communicate with relevant parties promptly.
  • Conduct organizational orientation for new hires, coordinating key presenters and materials.
  • Ensure all orientation documentation and training records for new hires are complete and submitted to Human Resources for retention.
  • Monitor compliance with department-specific orientation and onboarding, appropriately documenting all records.

Maintain records for ongoing certification, licensure, education, and related compliance requirements.

  • Keep educational records in accordance with applicable regulatory standards.
  • Ensure that employee licensure background checks, certifications, and other educational requirements are documented and current, notifying leadership and HR of any compliance risks.
  • Conduct regular audits to ensure compliance standards are met.

Manage student/intern programs such as nursing student rotations and high school job shadowing.

  • Ensure program compliance with regulatory standards.

Stay updated with industry trends and application proficiency.

Collaborate on special projects, develop eLearning modules, and maintain the LMS platform.

Qualifications:

Education & Licensure:

  • Associate's Degree in a related field required; Bachelor's Degree preferred.

Experience:

  • At least two years of experience with LMS systems (preferably HealthStream).
  • Experience in project management and technical support.
  • Experience in the healthcare sector is advantageous.

  • Strong problem-solving, time management, and collaboration abilities.
  • Advanced technical skills.
  • Ability to build relationships across the organization and effectively lead presentations to diverse audiences.

Supervisory Responsibilities:

  • None.

Physical Requirements:

  • Extended periods of sitting at a desk and working on a computer.
  • Extended periods of standing, bending, and reaching.
  • Ability to lift up to 20 pounds occasionally.
