Role Summary:

The primary function of this role is to assist Fotona's Sales Teams and Clients in the preparation and execution of offsite Customer Training Events. This position entails a variety of administrative and logistical responsibilities, including the organization of training materials, coordination of travel arrangements, and management of attendance records and certifications. The Event Training Specialist will ensure seamless logistical support and must exhibit exceptional organizational skills, attention to detail, and the ability to manage multiple tasks effectively.

Key Responsibilities:

  • Prepare, package, and track marketing and training materials, as well as equipment for workshops and events.
  • Maintain accurate records of Continuing Education registrations, certificates, and attendance.
  • Oversee inventory management of promotional materials and training resources.
  • Submit expense reports and receipts for reimbursement on a regular basis.
  • Communicate professionally and effectively with team members, speakers, clients, and vendors.
  • Exhibit a strong work ethic and represent Fotona with professionalism and integrity.

  • Exceptional organizational abilities with a capacity to manage timelines and prioritize tasks in a dynamic environment.
  • Meticulous attention to detail and the ability to handle multiple assignments accurately and punctually.
  • Self-motivated with a proven history of reliability and sound judgment.
  • Collaborative team player who takes responsibility for assigned tasks.
  • Proficient in technology, with experience in troubleshooting computer and webinar applications being advantageous.
  • Familiarity with Office Suite (Advanced Outlook, Basic Excel, Word) and tools like Google Docs or Salesforce is a plus.
  • Fluency in English with strong written and verbal communication skills is required.

Additional Requirements:

  • Willingness to work occasional weekends and travel as necessary.
  • Ability to work remotely and adapt to varying work environments.
  • Flexibility to be reachable outside of standard business hours when required.
  • Physical capability to lift and carry up to 50 pounds regularly and manage heavier items occasionally.
  • Comfortable with various physical activities throughout the workday.

Qualifications:

  • A Bachelor's or Associate's degree is preferred.
  • 1-2 years of relevant experience is preferred but not mandatory.
