As an Administrative Support Specialist, you will embody our Mission of Love by delivering exceptional administrative services, through ongoing training, to support the maintenance department in ensuring a clean, healthy, and safe environment.

Responsibilities Include:

  • Maintaining departmental files accurately and efficiently.
  • Providing administrative support to ensure efficient file management.
  • Preparing and distributing correspondence, compiling reports, updating policies and procedures, maintaining budget information, creating forms, and completing necessary documentation.
  • Answering phone calls and relaying messages professionally.
  • Issuing, preparing, and processing material requests, purchase orders, and invoices promptly and accurately, while maintaining purchase records.
  • Ensuring timely and accurate labor and material distributions.
  • Reporting staff hours accurately and promptly, utilizing the payroll system for verification.
  • Attending meetings, taking notes, and preparing written reports as required.
  • Engaging in professional development through educational programs, seminars, and courses.
  • Generating work orders as needed through the computerized maintenance management system (CMMS).
  • Contributing to special projects aimed at enhancing service quality.

Qualifications:

  • High School diploma or equivalent.
  • A minimum of three years of relevant experience.
  • Preferred background in business courses.
  • Proficient in office software such as Microsoft Word and Excel.
  • Familiarity with general office equipment.
  • Typing speed of at least 55 words per minute.
  • Strong written and verbal communication skills.
  • Excellent organizational abilities.
