Job Description

As a Clinical Administrative Coordinator at TCC Health, you will provide high-level administrative support to the CMO, Medical Director, and senior staff/clinicians. This role requires excellent communication, organizational, and time management skills to ensure seamless coordination of clinical operations.

Key Responsibilities:

  • Provide administrative support to the CMO, Medical Director, and other senior staff and clinicians.
  • Communicate regularly with Site and Practice Administrators regarding clinician scheduling and coverage needs.
  • Assist with processing PTO requests and submitting payroll for licensed providers.
  • Create and manage the On-Call Schedule for all clinical departments.
  • Schedule and prepare reports for quarterly and annual evaluations for all providers.
  • Manage the CMO and Medical Director's calendar and schedule as needed.
  • Coordinate training schedules for new licensed providers with HR and the Quality Team.
  • Assist with administrative functions in the licensed clinician peer review process.
  • Coordinate clinical and communications transition plans when licensed providers offboard.
  • Provide meeting support for retreats, departmental meetings, committee meetings, and special events.
  • Manage email groups/communication groups for clinical staff at each facility.
  • Submit reimbursements for licensed providers through accounts payable.
  • Run departmental reports monthly and send out communications to licensed providers as requested.

Requirements and Skills:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Fluency in the use of the electronic health record (HER, Athena) and clinical support software.
  • Extensive knowledge of clinical administration, clerical procedures, and recordkeeping systems.
  • Ability to type and proficiency with Microsoft Office Suite or similar software.

Education and Experience:

  • Associate degree in Business Administration or related field required, Bachelor's degree preferred.
  • 3 years of experience in an administrative or mid-management position preferred.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
