Job Description:

The Health & Human Services Comm is seeking a highly qualified candidate to fill the Volunteer Services Coordinator IV position within the Community Services, Foster Grandparent Program (FGP).

FGP serves a dual purpose in that it provides income-eligible adults, age 55 and older, with meaningful volunteer opportunities, while also meeting critical community needs by serving children with exceptional needs.

The Volunteer Services Coordinator (VSC) IV reports directly to the FGP Manager and performs highly advanced (senior-level) volunteer services work.

Responsibilities include:

  • Overseeing, evaluating and promoting volunteer program with local volunteer stations and community stakeholders;
  • Recruiting, matching, and maintaining close supervision of Foster Grandparent Volunteers;
  • Conducting new volunteer orientation and ongoing training activities;
  • Evaluating and monitoring programmatic components for compliance and reporting;
  • Overseeing and approving bi-monthly payroll submissions.

Work is performed with minimal supervision, with extensive latitude for the use of initiative and independent judgement.

Essential Job Functions:EJF1: Volunteer Recruitment and Retention

Develops a volunteer recruitment and retention plan based on federal grant requirements; recruits volunteers in accordance with the recruitment plan; fully screens and processes volunteer applicants; interviews, selects, and assigns Foster Grandparent volunteers; and develops job descriptions, agreements, and outlines responsibilities and obligations of volunteers.

EJF2: Foster Grandparent Program Oversight

Oversees the Foster Grandparent Program at daycares, independent school districts, juvenile detention centers, and other volunteer service sites; achieves the maximum benefit for children and youth through careful recruiting and matching of Foster Grandparent Volunteers to volunteer stations and maintains close supervision of volunteers.

EJF3: Administrative Direction and Guidance

Serves as project lead and provides administrative direction and guidance to the FGP Administrative Assistant. Oversees required records, files, and the program database regarding volunteer schedules, mileage, and stipends. Analyzes and provides information to the FGP Manager and Supervisor as requested for reports, audits, and internal and external requests.

EJF4: Volunteer Orientation and Training

Orients and trains volunteers in accordance with the FGP Volunteer Services Policy Manual; develops volunteer and aging specific in-service materials and makes such training available to all volunteers on a monthly basis; supervises and evaluates the performance of volunteers and provides corrective action as warranted.

EJF5: Community Relations and Recognition

Promotes FGP through community relations programs and activities including radio, television, print media, health and senior fairs, and personal speaking engagements. Leads the planning and coordination of volunteer recognition and appreciation events throughout the year.

EJF6: Point of Contact and Other Duties

Serves as point of contact in the absence of the FGP Manager and Supervisor. Performs other duties as assigned.

  • Knowledge of community resources and organizations, and community engagement strategies;
  • Knowledge of gerontology or issues facing aging adults;
  • Skill in public speaking and providing effective presentations;
  • Skill in working collaboratively and cooperatively with diverse groups;
  • Skill in operating a computer and software applications, including Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook);
  • Ability to operate standard office equipment such as fax, copier, projector, calculators;
  • Ability to communicate verbally and in writing in a clear and concise manner;
  • Ability to interpret rules, regulations, policies, and procedures;
  • Ability to oversee, train, evaluate and promote volunteers and the volunteer program;
  • Ability to interact and communicate professionally and effectively with all stakeholders.

Initial Selection Criteria:

The ideal candidate will possess:

  • Graduation from an accredited four-year college or university;
  • Additional related work experience may substitute for the required education on a year-for-year basis with a maximum substitution of four (4) years;
  • Experience in directing volunteer or staff activities;
  • Experience in working with the public and community organizations in establishing and maintaining effective working relationships;
  • Experience in evaluating and monitoring programmatic components for compliance and reporting.
