Job Overview

Position Title: Maintenance and Forecast Coordinator

Objective: To enhance the initiatives of the Metropolitan Park District by providing support in planning and construction endeavors, as well as overseeing the forecasting and optimization of scheduled maintenance tasks to ensure organizational efficiency and effectiveness.

Classification: Full-time, exempt, salaried position, year-round

Compensation: Pay Grade 8 - $46,675 - $65,012

Retirement Benefits: Contributions made by both employer and employee to the Public Employees Retirement System.

Reporting Structure: Reports directly to the Manager of Self-Performed Construction

Supervisory Responsibilities: None

Key Responsibilities
  • Manage the computerized maintenance management system (CMMS) and capital planning software, including data entry, storage, dashboard creation, report generation, and overseeing work requests and completion processes.
  • Conduct assessments of building and site conditions to generate deficiency lists and populate maintenance management and capital planning software.
  • Regularly monitor and update Facility Condition Index scores while committing to reducing deferred maintenance.
  • Generate and review reports with various staff and project managers to promote continuous improvement and track goals.
  • Assist in the development and management of the district's Park Improvement Plan.
  • Maintain professional relationships with other municipalities, research organizations, equipment manufacturers, and professional associations regarding maintenance management systems and long-term planning.
  • Provide training on the maintenance management system for staff and volunteers.
  • Support the procurement of project materials and supplies, including researching materials, estimating quantities, obtaining bids, evaluating options, and coordinating delivery.
  • Assist in negotiating scopes, fees, and contracts with consultants, vendors, and contractors for assigned projects.
  • Ensure a safe working environment for employees and contractors, promoting adherence to agreements and contracts.
  • Participate in annual capital improvement planning, maintenance planning, and budget processes, forecasting capital renewal expenditures and contributing to budget development.
  • Evaluate specifications for capital and major maintenance projects to maximize life cycle costs and ensure maintenance considerations are included.
  • Develop and maintain a standards guide for specifying standard materials for buildings and amenities.
  • Conduct routine field inspections, audits, and physical assessments of capital assets.
  • Collaborate with Park Operations staff and contractors to maintain accurate system data.
  • Attend all construction closeout walks and inspections for capital and major maintenance projects, entering relevant capital renewal and preventative maintenance information into appropriate data systems.
  • Perform other related duties as assigned by the Park District.
Equipment Utilized

A variety of office equipment, GPS devices, digital cameras, recording tools, writing instruments, printers, and computing devices, including Microsoft Office Suite, Microsoft Project, Cityworks, and Esri ArcGIS Online.

Minimum Qualifications

Education: Bachelor’s degree in Information Services, Construction Management & Technology, Business/Organization Management, or a related field, or equivalent experience.

Experience: Moderate experience in process management, long-range planning, scheduling, and construction project management, with some familiarity in maintenance management systems.

  • Knowledge of preventive maintenance and continuous improvement practices.

  • Analytical and problem-solving skills, with the ability to interpret instructions, documents, blueprints, bids, reports, and schedules.
  • Moderate understanding of database management and experience with Structured Query Language (SQL).
  • Basic knowledge of Geographic Information Systems (GIS) and Global Positioning Systems (GPS).
  • Basic math skills for assessing and recommending budget requests.
  • Strong written and verbal communication skills.

  • Proficiency in industry-standard software such as MS Office Suite and Cityworks.
  • Valid driver's license with a satisfactory driving record.

  • Regular lifting of up to 30 lbs. and occasional lifting of up to 60 lbs. with assistance.
