General Overview of the Role
As an Administrative Support Specialist, you will engage in a range of clerical and patient care responsibilities that are vital to the efficient functioning of the designated department.

Key Responsibilities
Your duties may differ based on the department and location, and may encompass:

  • Patient registration and scheduling
  • Facilitating the physician order re-certification process
  • Insurance verification and coordination of patient services
  • Charge entry and reconciliation tasks
  • Handling co-payments and daily cash receipts

The Administrative Support Specialist will also assist with daily medical record operations, warmly greet and register patients, prepare patient setups, and ensure that examination rooms are thoroughly cleaned and organized.

Additional Duties
You will be expected to perform various patient care tasks as directed by healthcare professionals, manage clinical dictations, maintain clinical and administrative supplies, and create patient registration packets. Additionally, you will provide front office and call center support.

Core Responsibilities
Contribute to the accomplishment of departmental goals while adhering to established policies, procedures, and quality standards. Ensure compliance with relevant regulations and accreditation standards.

Assist patients both over the phone and in person by effectively triaging inquiries and directing them to the appropriate clinical or administrative team members.

Promptly respond to calls using the appropriate greeting, follow established scripts, and manage patient reminder calls as assigned.

Efficiently complete preliminary intake processes, including patient updates, scanning, registration, and scheduling of appointments in accordance with insurance guidelines.

Conduct insurance verifications to guarantee accurate claim submissions and coordinate necessary services and authorizations for patients.

Billing and Financial Management
Demonstrate proficiency in the billing aspects of the practice management system, including managing guarantor and insurance information, and ensuring accurate case management.

Oversee the collection of patient payments and reconciliation of financial records, prepare bank deposits, and maintain accurate cash receipt logs.

Generate daily and weekly administrative reports and manage alerts within the electronic medical record (EMR) system.

Patient Interaction and Support
Assist in assembling financial and medical record documentation for healthcare providers, ensuring all patient information is accurate and complete.

Communicate any duplicate medical record accounts to the appropriate personnel for merging and manage referrals and medical records requests as assigned.

Maintain a clean and organized waiting area, restocking materials as necessary, and monitor administrative supply levels.

Team Collaboration
Participate in building positive relationships with referring physician practices to enhance referrals and site productivity.

Exhibit leadership qualities by training and guiding team members in the absence of supervisory staff, while effectively resolving conflicts through clear communication.

Qualifications
Education: High School Diploma or GED required; Associate's degree preferred.
Experience: 3-4 years of medical office experience in a rehabilitation setting required.

Skills and Competencies
Exceptional customer service and communication skills, along with a solid understanding of Microsoft Office applications. Must be organized, detail-oriented, and capable of multitasking while maintaining a professional demeanor.
