POSITION SUMMARY
Responsible for preparing all necessary event documentation and collaborating with Sales, property departments, and clients to ensure a consistent and high-quality service throughout the pre-event, event, and post-event phases.
Acts on behalf of the Director of Event Management or Director of Event Planning and Operations during their absence.
Serves as the primary contact for event planners on property and is accountable for their overall experience.CANDIDATE PROFILE
Education and Experience
- High school diploma or GED; 2 years of experience in event management or a related professional field.
- 2-year degree from an accredited institution in Hotel and Restaurant Management, Hospitality, Business Administration, or a related discipline; no prior work experience necessary.
CORE WORK ACTIVITIES
Managing Event Operations
- Address challenges and propose alternatives to existing arrangements as needed.
- Facilitates pre-event and post-event meetings for assigned groups.
- Identifies operational issues related to assigned groups and collaborates with property staff and clients to resolve these issues or develop alternative solutions.
- Oversees customer budgets to optimize revenue while meeting client needs.
- Manages customer experiences from file turnover through the post-event phase until returning to sales.
- Conducts necessary pre- and post-event meetings to review and communicate group requirements and feedback.
- Administers group room blocks and meeting spaces for assigned groups.
- Adheres to all relevant standards, policies, and procedures.
- Celebrates successes and publicly acknowledges the contributions of team members.
Implementing Sales and Marketing Strategies
- Promotes products and services throughout the event process.
- Participates in customer site inspections and supports the sales process when needed.
- Acts as a liaison between field sales personnel and clients throughout the event process (pre-event, event, post-event).
Ensuring Profitability
- Manages revenue and profitability associated with events.
- Forecasts group sleeping rooms and event revenue (catering and audio-visual) for assigned groups.
- Reviews billing and payments with clients.
Delivering Exceptional Customer Service
- Engages with guests to gather feedback on product quality and service levels.
- Addresses guest issues and complaints.
- Maintains a visible presence with customers throughout the entire event process.
- Follows up with clients post-event.
- Greets clients during the event phase and hands off to the Event Operations team for detail execution.
- Aims to enhance service performance.
- Sets a positive example for guest relations.
- Reviews feedback and guest satisfaction results with associates.
- Coordinates and communicates verbally and in writing with clients (internal and external) regarding event specifics.
