This role involves the preparation and execution of purchase orders with suppliers, aligning with operational needs and timelines. You will also be responsible for securing order confirmations to ensure that services or materials are scheduled according to requests, as well as processing requisitions from diverse project teams.

Key Responsibilities:

  • Accelerate orders to ensure timely delivery of goods or services.
  • Address invoice discrepancies and provide necessary accounting guidance for cost variance allocations.
  • Prepare return orders for non-compliant items and ensure that credits or invoice adjustments are processed through Accounts Payable.
  • Maintain precise purchase transaction records through organized vendor and purchasing documentation.
  • Monitor price fluctuations and communicate updates with procurement personnel.
  • Investigate new qualified subcontractors and suppliers as necessary.
  • Gather quotes and proposals as required.
  • Assess existing vendors as needed.
  • Evaluate proposals for thoroughness and quality.
  • Draft recommendations for contract awards.
  • Assist Procurement staff with operational and administrative tasks as needed.

Qualifications & Requirements:

  • This is an entry-level role.
  • A Bachelor's degree is required.
  • Basic knowledge and experience with trade contracts and equipment procurement.
  • Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications:

  • Experience in procuring capital equipment within a highly regulated industry (e.g., healthcare, energy, pharmaceuticals).
  • A Bachelor's degree focusing on Supply Chain Management, Engineering, or Construction Management.
  • Familiarity with Procore for bidding processes.

This position may require approximately 10% travel to regional offices and client sites. Travel will be conducted via commercial airlines or personal vehicles. Candidates must be capable of navigating active construction environments. This role is classified as safety-sensitive, involving field visitations and participation in activities at client sites where construction, processing, packaging, manufacturing, research, or other non-administrative functions occur. While heavy lifting and physical labor are not essential to this position, awareness of the construction environment is necessary.
