Key Responsibilities
Surgical Scheduling (50%)
- Coordinate surgical procedures and manage scheduling.
- Secure necessary authorizations for procedures.
- Handle phone inquiries professionally and courteously.
- Ensure timely and accurate post-operative data entry.
- Prepare and distribute the daily surgical schedule.
- Facilitate coordination with hospitals, surgical centers, and internal teams for special surgical requirements.
- Perform additional duties as assigned.

Administrative Support (50%)
- Manage departmental filing systems.
- Process and oversee PIP applications for patients involved in motor vehicle accidents.
- Act as a liaison between patient representatives and attorneys, as well as with pharmacies.
- Provide clerical support, including:
- Maintaining departmental records and files.
- Preparing documents and correspondence.
- Organizing inventory of office supplies and forms.
- Designing forms and graphs as needed.
- Assist with chart documentation and patient scheduling, registration, and insurance verifications.
- Obtain necessary authorizations and referrals for appointments.
- Undertake other duties as assigned.

Minimum Qualifications
- High school diploma or GED equivalent.
- 2-3 years of experience in a medical office or related environment, with computer proficiency preferred.
- Knowledge of medical terminology and familiarity with diagnostic procedures, healthcare billing, and authorization processes is essential.
- Prior experience in insurance verification and scheduling is required.

Office Skills:
- General office skills, scheduling, telephone etiquette, typing, business acumen, organization, time management, customer service, verbal communication, PC proficiency, and reporting skills.
- Understanding of HIPAA regulations and confidentiality requirements.
- Strong organizational skills and attention to detail are a must.

Computer Proficiency:
- Familiarity with Excel, Word, and Windows (minimum of 1 year required).

Additional Skills:
- Ability to manage multiple tasks and responsibilities effectively.
- Strong telephone and computer skills.
- Tact and skill in patient management.
- Excellent communication and organizational abilities.
- Understanding of medical office procedures.
- Capability to interact effectively with doctors, patients, and colleagues.
- Ability to triage patients and take basic vital signs (blood pressure, pulse, respiration).
- Motivated with excellent interpersonal communication skills.

Physical/Mental Requirements
This position involves extended periods of sitting and phone work, along with repetitive motions such as bending, stooping, twisting, walking, standing, reaching overhead, and pushing or pulling. Manual dexterity is required, along with the ability to focus on details amidst other activities. The role may require lifting up to 20 pounds.
